PrimaryPurpose
The primary purpose of the position is to support the Vendor Maintenance Manager to develop and execute vendor partner strategies, collaborating with senior leaders, and monitoring vendor partner performance to align with the company's overall goals. This role involves coordinating with the Sourcing Department to aid in negotiating contract terms/scope of works, monitoring vendor compliance, and establishing long-term partnerships to drive value and efficiency.
The role is responsible for developing and executing vendor management strategies, resolving issues, and fostering collaboration between internal teams and external suppliers.
- Contract negotiation:
Support the negotiation of vendor partner contracts to secure win-win financial outcomes for all stakeholders while ensuring service excellence. - Vendor relationship management:
Build and maintain strong, long-term partnerships with key vendors. - Performance monitoring:
Oversee and monitor vendor partner performance to ensure it meets or exceeds agreed-upon service levels and key performance indicators (KPIs). - Cross-functional collaboration:
Work with internal departments, such as Sourcing, Finance, Legal, and Operations, to align vendor partner strategies with their needs and objectives. - Risk management:
Ensure vendor partner activities comply with company policies and regulatory requirements. - Communication:
Primary point of contact for store and district management for escalation and resolution of unsatisfactory vendor performance or work quality. Communicate effectively with service providers to ensure timely and appropriate service, and to monitor their performance. - Maintenance workflow and process efficiency/effectiveness:
Use Service Channel and other approved systems to efficiently manage maintenance processes, so stores get timely and cost-effective services with proper billing and accounting. Ensure quality of work by checking/inspecting a representative sample. Collaborate with brand operations and RBS Maintenance team to optimize the system and related processes. - Provide technical oversight and coordination of response across a broad range of disciplines/trades to identify, diagnose, and recommend solutions for complex problems involving sites, buildings.
- Maintain compliance with applicable laws, regulations and company policies/initiatives pertaining to maintenance and energy/sustainability.
- Learn and stay current with accounting procedures, and coordinate with the Facilities Maintenance team to ensure proper business processes are followed by in-house staff, contractors and service providers when ordering work, performing work, processing invoices, etc.
- Facility conditions:
Perform periodic condition assessments to ensure vendor compliance to service agreements, customer satisfaction and work quality. - Learning and maintaining proficiency:
Continue to learn and develop proficiency with Service Channel and strive for innovative expertise in maintaining supermarket facilities so ADUSA can help the brands be more successful in the future. - Collaborate with Sourcing and others for recruiting and training new contractors to increase resources and technical expertise for servicing the brands.
- Over 25% travel required, including occasional overnight travel.

- Experience:
3+ years' experience in vendor management roles with a working knowledge of retail operations and service requirements. - Analytical skills:
Strong ability to analyze data to assess vendor partner performance and inform strategic decisions. - Negotiation skills:
Proven experience in negotiating complex contracts and driving favorable outcomes. - Leadership and communication:
Excellent leadership, communication, and interpersonal skills to influence stakeholders at all levels, from C-suite executives to individual vendor partners. - Familiarity with supply chain processes and inventory management systems.
- Proficiency in procurement software and databases.
- Detailed understanding of contract terms, monitoring activities, and required due diligence.
- Ability to communicate and articulate vendor performance issues and due diligence items to appropriate parties both internally and externally.
