Job Description Summary
The Administrative Assistant will report to the platform Director, R&D, MDS‑SLC while also providing support to the MDS‑SLC Platform R&D teams. The ideal candidate is unflappable and able to prioritize and streamline processes, can use initiative and good judgment, work independently with little supervision, while always exhibiting a high level of professionalism, confidentiality and discretion.

Responsibilities- Administrative support
- Provide comprehensive administrative support to enhance organizational efficiency.
- Support the R&D Director with calendar management, including coordination with internal and external stakeholders.
- Independently organize agendas, meetings, and logistical arrangements for on‑site and global engagements.
- Coordinate domestic and international travel arrangements, including detailed itineraries.
- Prepare and process travel expenses and reimbursements promptly.
- Process purchase orders (POs).
- Manage legal agreements (e.g., CDAs, Statements of Work, Master Service Agreements).
- Manage contracts and legal agreements with healthcare organizations and health care professionals.
- Build and maintain effective working relationships within the Salt Lake City site and across global teams.
- Collaborate with administrative assistants across the organization to manage complex scheduling demands.
- Create high‑quality PowerPoint presentations for R&D updates and meetings.
- Demonstrate a strong service mindset to support the R&D Director in driving efficiency and effectiveness.
Education & Experience
- Minimum of 5+ years of experience as an Administrative Assistant supporting multiple leaders in a fast‑paced, matrixed, multicultural environment; corporate experience preferred.
- High school diploma required; bachelor’s degree strongly preferred.
- Advanced proficiency with Microsoft Office Suite (PowerPoint, Word, Excel, Outlook); ability to create and edit presentations including animations, charts, and proofreading.
- Proficiency with SAP, Workday, and Concur.
- Ability to manage a high‑volume workload, complex calendars, and frequent travel arrangements.
- Excellent interpersonal and communication skills, with experience supporting senior management and diverse internal/external partners.
