Hours: 40 hours per week, Full Time, Day shift
Summary: Provide administrative support to the Senior Director of Research and related activities, coordinating calendars, meetings, travel, communications, and general office operations in support of Huntsman Cancer Institute.
Responsibilities- Manage calendar
- Schedule meetings
- Fill out availability for requested meetings in a timely manner
- Block calendar for vacations, out-of-office meetings, grant writing, etc.
- Review double bookings and adjust based on Senior Director priorities
- Coordinate Senior Director Meetings
- Ensure attendees are appropriate and calendar invites sent
- Prepare meetings (gather materials, agenda items); create and distribute agendas
- Take minutes for meetings requested by the Senior Director
- Edit and review materials before distribution
- Complete tasks in a timely fashion after meetings
- Gather Power Points, run slides, and oversee meeting logistics (if requested)
- Schedule rooms, set up Zoom, arrange food, and escort guests as needed
- Office communication: send daily summaries/updates (as preferred by Sr. Director)
- Answer phones; act as coordination hub between offices/clinics
- Manage incoming/outgoing mail and email as requested
- Welcome visitors for interviews/meetings; manage meeting times and travel time
- Arrange travel for Senior Director and guests (including registrations, flights, hotels, itineraries, reimbursements)
- Assist with Letters of Support, Letters of Promotion, Letters of Recommend, etc. as needed
- Coordinate/compile information for monthly electronic newsletter
- Assist with HCI events hosted by the Senior Director’s office
- Complete specific administrative tasks as requested
- Manage MTAs, DTAs with U of U PIVOT office
- Update Policies and Procedures with appropriate guidance/oversight
- Minimum Qualifications: Bachelor’s degree in a related area or equivalency (one year of education substituted for two years of related work experience). Four years of progressively more responsible management experience. Knowledge of hiring department’s area to analyze, plan, and recommend. Demonstrated leadership in planning and directing employees and processes. Supervisory training completion within one year may be required.
- Master’s degree in a related area may be preferred.
