This role provides essential administrative and operational support that enables division leaders and teams to execute key priorities effectively. It serves as a central resource for coordinating processes, managing information flow, and maintaining organized systems across the division.
Primary Responsibilities- Coordinate division schedules, meetings, and communications to support smooth daily operations.
- Maintain organized tracking systems, documents, and records to ensure accurate and accessible information for team members.
- Support division leaders with logistical and operational tasks that contribute to achieving departmental goals.
- Facilitate the processing and routing of division documentation, correspondence, and operational requests.
- Monitor and follow up on routine action items to maintain progress and ensure timely completion.
- Assist with preparation of reports, summaries, and materials that support business operations and team initiatives.
- Serve as a point of contact for internal teams, providing information and assistance as needed.
- Coordinate basic office functions and resources to support a productive and efficient working environment.
- High school diploma or equivalent.
- 1–3 years of relevant administrative or operational support experience.
- Associate’s degree or equivalent.
- 3–5 years of relevant experience.
- Strong organizational and time-management capabilities.
- Ability to prioritize tasks and manage competing deadlines.
- Effective written and verbal communication skills.
- Proficiency with office productivity software and digital collaboration tools.
- Strong attention to detail and accuracy in work output.
- Ability to interpret and apply standard procedures.
- Customer service orientation and professional interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Problem-solving skills for routine issues requiring interpretation of established processes.
- Collaborative mindset with the ability to support team operations.
Work is primarily performed in a general office environment. Occasional visits to field or construction sites may occur to support division needs. Minimal travel may be required for meetings, training, or company events.
Physical Requirements- Ability to sit for extended periods while working at a computer or desk.
- Ability to stand, walk, or move about the office to support administrative tasks.
- Ability to lift or carry files, office supplies, or equipment up to 20 pounds.
- Visual acuity to review documents, spreadsheets, and digital content.
- Ability to operate office equipment such as computers, printers, and telephones.
