Job Summary

This position provides administrative, communication, and program support for the Department of Geology & Geophysics and the Department of Mining Engineering within the University of Utah’s College of Science. The successful candidate will play a key role in supporting faculty, students, alumni, and departmental initiatives across both academic units.

Office Administrators

Oversee general office operations. Coordinate all aspects of the daily office environment including, but not limited to, office maintenance, ordering office supplies, and other duties to ensure the office operates smoothly and efficiently. Coordinate office equipment maintenance and initiate facility repair requests with building management and/or outside vendors. Work closely with executives and management on coordination of local culture and engagement initiatives including planning and logistics.

Act as the face of the office and develop and maintain relationships with building management services, vendors, caterers, and various internal departments. Coordinate and schedule internal/external meetings, and conference/video calls on behalf of leaders.

Responsibilities

Coordinate office equipment maintenance and initiate facility repair requests with building management and/or outside vendors. Work closely with executives and management on coordination of local culture and engagement initiatives including planning and logistics.

Act as the face of the office and develop and maintain relationships with building management services, vendors, caterers, and various internal departments. Coordinate and schedule internal/external meetings, and conference/video calls on behalf of leaders. May perform other duties including accounting support, reception, facilities, maintenance, supply management, and various back office functions. Considered highly skilled and proficient in discipline. Conducts complex, important work under minimal supervision and with wide latitude for independent judgment.

  • Provide administrative support for undergraduate academic programs, including course scheduling, Coursedog administration, and coordination with academic advising teams.

  • Manage departmental forms, workflows, and related administrative processes, ensuring content remains accurate and up to date.

  • Maintain and update department websites, social media platforms, and Linked In presence to promote programs, events, and accomplishments.

  • Coordinate and support on-campus events, student activities, recruitment initiatives, and community engagement efforts.

  • Serve as the department’s marketing liaison with the College of Science and LAS ,assisting with promotional materials, branding, and communication campaigns.

  • Foster and maintain relationships with alumni through outreach, communications, and engagement activities.

  • Design, maintain, and update departmental bulletin boards, signage, and informational displays.

  • Provide logistical and administrative support for the Distinguished Lecture Series and other special academic events.

  • Support student organizations and volunteer initiatives by coordinating activities, communications, and event logistics.

  • Provide administrative support for faculty committees including scheduling, agenda preparation, documentation, and follow-up communications.
