, this role is for you. This role is the 'Air Traffic Control' for our purchasing department—ensuring POs are entered, vendors have confirmed receipt, and delivery dates are accurate in our system.
You’ll support end-to-end purchasing operations, including creating and releasing purchase orders, maintaining accurate “receive by” dates, updating internal order tracking, and ensuring alignment with warehouse locations and production needs. Expect to work closely with the warehouse team, special-order processing from the sales team, and daily open-order follow-up. There will also be a close relationship with the sales and warehousing teams to ensure accurate requests and timelines are met and will require active cross-team collaboration.
You will be responsible for the accuracy of data entry. You will create POs based on the plan provided by the Procurement Manager, attach all relevant confirmations, and ensure the 'Expected Receipt Date' in Net Suite is always up to date so our sales team knows when product is arriving.
You are the primary chaser. You will ensure every PO sent is confirmed by the vendor within 48 hours. You will tirelessly follow up on unconfirmed orders and late shipments, acting as the early warning system for the Procurement Manager when a vendor is slipping.
You will track vendor performance data (on-time delivery, confirmation rates) to help the Procurement Manager identify recurring supply chain bottlenecks.
You will serve as the "first line of defense" against stockouts. You will run daily inventory health reports to compare current stock levels against our safety targets and flag potential shortages immediately.
You will apply Material Requirements Planning (MRP) logic to ensure we are ordering the right quantity at the right time—balancing stock availability with inventory carrying costs. You will draft replenishment orders for critical materials (lumber, stain) for manager review, and execute re-stocking orders for consumables (fanfold, fasteners, cardboard). Additionally, you will help maintain system accuracy by processing cycle counts and reconciling inventory discrepancies for both of our facilities.
Payable Support
You’ll help ensure accurate vendor billing by reviewing invoices, validating line-item pricing, checking tax and freight charges, and uploading required documentation.
You will investigate Purchase Price Variance (PPV) issues—identifying when a vendor charges us more than the contracted rate and flagging it for correction.
You’ll monitor domestic and international shipments, track containers, update ETAs based on vendor or carrier feedback, and collaborate with warehouse teams to maintain receiving accuracy.
You will ensure proper classification of shipments based on Incoterms (e.g., FOB vs. DDP) to accurately track liability and landed costs.
You’ll interface with operations, warehouse, A/P, and sales teams to ensure product availability, accurate sales order updates, and alignment with production schedules.
