Position Overview
Freezing Point is the fastest growing frozen beverage company in the US and the maker of Frazil, 100% Juice Frazil, Frazil Energy, and Café Tango! We are a growing, high-performance team in search of a Tradeshow Coordinator.

Key Responsibilities- Acting as primary team contact for show submission.
- Gathering sufficient information before presenting to CRO/MSE for decision on participation.
- Maintaining up to date tradeshow calendar.
- Handling all logistical elements leading up to trade shows, including:
- Registration
- Show Deadlines
- Booth Selection
- Booth Renewal
- Allowances
- Materials Request Forms
- Outbound BOL review and pallet verification
- Return BOL generation
- Show specific fees (electrical, water, A/V, internet, drayage, etc.)
- Name Badge requests
- Financial paperwork such as Certificates of Insurance
- Advertising (company descriptions, personnel photos, etc.)
- Association specific memberships
- Any other show specific paperwork
- Travels to and acts as primary foreman for Frazil’s 4-6 highest profile shows each year, overseeing booth construction ahead of show and tear down following the show.
- NRA (restaurants) Show (third weekend in May, annual)
- SNA ANC (second week of July, annual)
- NACS (first week of October, annual)
- IAAPA (week before Thanksgiving, annual)
- Records spending and keeps track of tradeshow budget, including looking for opportunities to cut costs when possible.
- Researches and recommends potential shows.
- Manages Freezing Point’s tradeshow assets including banners, booth setups, light boxes, furniture, etc.
- Helps warehouse team check in return shipments.
- Manages personnel calendars, including temporary workers.
- Provides analysis on show effectiveness (cost vs ROI in machine contracts).
- Works with marketing on booth design & improvements.
- Researches and recommends local lodging options, transportation options, and entertainment options for show personnel on a per show basis.
- Other duties as assigned.
Minimum Qualifications & Competencies
- 4+ years of logistics experience (event-planning as a bonus).
- Background working with logistics companies / exhibitors’ services companies (GEM, Freeman).
- Background working with shipping companies (package delivery companies like UPS/Fed Ex and freightliners like Old Dominion/CR England).
- Excellent communicator, comfortable interacting with internal stakeholders (including company executives) and customers alike.
- Proficiency with Microsoft programs (Excel especially).
- Spanish language proficiency.
- Food / Beverage industry specific experience.
- Bachelor’s degree in Event Planning, Logistics/Supply Chain, or related field.
- Familiarity with Hub Spot or similar CRM tools.
- You have a passion for details. You enjoy task-based work and can handle lots of "little things" while maintaining accuracy and output.
- You are a strong team player with a collaborative work style. You help before you criticize and always look to find the common ground.
- You have excellent communication skills. You are a natural born communicator and are comfortable communicating in writing, over the phone, and in person. You keep calm when tensions rise and can deescalate as needed.
- You know how to manage your time, and to ask for help when you need it.
- You partner closely with the service operations, logistics, and sales team managers to ensure service delivery needs are met.
- You are a self-starter (work will come from your own management of show deadlines for 150+ trade shows)
- You are Adaptable (be able to fix a show problem on the fly)
- Active physical work that includes the ability to lift, carry, push, and/or pull up to 100 pounds on a regular basis.
- Continuously walking, standing, stooping, bending, kneeling, and reaching in all directions.
- Work is primarily indoors, in an office setting and a warehouse.
- Ability to see, read, and/or create floor plans, drawings, and/or show site specifications.
- Frequently communicate with team members via email, phone, and in-person interactions.
