Job Summary
The SJ Quinney College of Law Conference & Events department's mission is to ensure our in‑person, hybrid, and virtual meetings and events run smoothly, look amazing, and exceed the goals set for each event. Our Event Coordinators plan, implement and manage various logistical, tech, and financial details associated with small to large‑scale special events.
The right candidate must work quickly and accurately, enjoy the work environment, and know when to focus on “business”. They should be professional, tech‑savvy (or willing to learn), adaptable, highly self‑motivated, and comfortable collaborating with a team. Must be available for a flexible schedule, including varying days of the week, evenings, and weekends.
Responsibilities- Plan, coordinate and follow through with details for in‑person, hybrid, and virtual events for internal and external clients, most of which are held at the University of Utah SJ Quinney College of Law building.
- Provide on‑site presence and support for in‑person and hybrid events, ensuring coordination of all aspects, including service levels, vendor selection, catering, collateral materials, logistics, technology support and registration.
- Design virtual and hybrid events that are dynamic and impactful, focusing on attendee engagement. Understanding digital event platforms and proposing innovative solutions is a plus.
- Maintain fiscal responsibility for event activities, including purchasing, reimbursements, payments, invoicing, expense reports, budgets, record‑keeping and purchasing‑card reconciliations, ensuring compliance with federal guidelines and University of Utah policies.
- Perform a versatile role that includes project management, meeting and event management, communications, building community, fostering relationships, and contract management/negotiation with vendors.
- Assist in evaluating ROI for College of Law events, making adjustments for future events as needed. Input is important for program development and evaluating needs assessment and event effectiveness.
- Demonstrate strong customer‑service skills and a positive attitude, adaptability, problem‑solving skills, and a desire to support faculty and student success.
- Maintain files and update the spreadsheet/database on event details and participants.
- Work a varied schedule, including early mornings, evenings, and weekends, depending on event calendar.
- Resolve conflicts and differences through dialogue and open communication in a timely manner.
- May manage office supplies and equipment and act as a liaison with vendors.

Minimum Qualifications1 year of higher education can be substituted for 1 year of directly related work experience. Requires a bachelor's (or equivalency) + 2 years of directly related work experience or a master's (or equivalency) degree for a Live Event / Trade Show Planner role.
PreferencesA lifelong learner with a highly positive attitude who collaborates well with others, embraces continuous improvement, works quickly and accurately, and is familiar with webinars, virtual meetings, webinar platforms, and other event tech. The candidate must be available to work varying days of the week, shifts, including nights and weekends.
