Job Summary

The Faculty Affairs Program Manager coordinates faculty affairs operations for the Department of Internal Medicine, one of the largest departments within University of Utah Health. Supporting approximately 500 faculty members across 12 divisions, this position manages faculty lifecycle activities, including appointments, reappointments, track changes, onboarding coordination, faculty review processes, and maintenance of official faculty records.

Working collaboratively with other Faculty Affairs team members, this position provides operational support across the full faculty lifecycle and serves as a shared resource for faculty recruitment, appointments, reviews, promotions, and faculty data management.

Serving as a key liaison for faculty, department leadership, Faculty Administration, Human Resources, the University of Utah Medical Group ( UUMG ), and other institutional partners, the Program Manager ensures compliance with University and School of Medicine policies and procedures, supports faculty processes, maintains accurate records, and provides guidance on faculty affairs matters.

In partnership with the Faculty Affairs team, coordinate faculty administration processes for 12 divisions within the Department of Internal Medicine, sharing responsibility for faculty lifecycle activities and providing cross-coverage across functional faculty areas, including but not limited to:

• Coordinate faculty recruitment and appointment activities, track changes, and appointment actions for Volunteer Adjunct, Adjunct, Clinical, Research, Tenure, Visiting, and Lecturer-track faculty. Provide support throughout the faculty hiring process, including recruitment, candidate processing, appointment preparation, and onboarding coordination.
• Prepare required documentation, Chair letters, faculty appointment files, and electronic voting materials.
• Coordinate emeritus faculty requests in accordance with University and School of Medicine guidelines.
• Serve as departmental liaison to Faculty Administration, Human Resources, Mission Based Management and other University partners regarding faculty onboarding, credentialing, and enrollment activities; monitor process status and communicate updates to faculty, divisions, and leadership.
• Coordinate and support faculty review, promotion and tenure processes, including Tenure Faculty Review ( TFR ), and Retention, Promotion, and Tenure ( RPT ) activities, ensuring compliance with departmental and institutional timelines and requirements.
• Manage annual reappointment processes for a large faculty population.
• Maintain official faculty records and ensure data accuracy, confidentiality, and compliance with institutional requirements.
