Installation Coordinator
Location:
Salt Lake City, UT (In-Office) Company:
Closets by Design –Utah
Employment Type:
Full-Time - M to F / Saturdays as Needed Start Time: 7:00 AM
- Ensure timely scheduling of all installations based on project timelines, product readiness, and installer availability.
- Coordinate between departments to keep all parties aligned.
- Create and manage install calendars to prevent overbooking, underbooking, or scheduling conflicts.
- Confirm site readiness before sending installers (e.g., site access).
- Verify that all materials and components are ready and inspected prior to scheduling install/service.
- Verify timeline with Production and Inventory when scheduling services.
- Serve as the primary point of contact for customers regarding install scheduling and expectations.
- Communicate clear timelines, prep instructions, balance due, and install day details to clients.
- Proactively update customers on delays, changes, or follow-up work.
- Assign the appropriate installation crew based on project complexity and availability.
- Ensure installers have the correct plans, materials, hardware, and documentation before arriving on site.
- Track and document installer performance and issues for future reference or training.
- Track apprentice over‑time, assign days off if and when needed.
- Maintain accurate records of all installs, including:
- Scheduled dates
- Completion status
- Issues encountered
- Service orders
- Report delays or recurring problems to operations/management.
- Be proactive in resolving on‑site issues that may arise during installation.
- Coordinate follow‑up work (e.g., punch list items, touch‑ups, missing parts) in a timely manner.
- Escalate major concerns (e.g., safety, customer dissatisfaction, contractor conflict) appropriately.
- Ensure the installation meets company standards and design intent.
- Collect feedback or photos from installers/customers to verify quality.
- Follow up on installs to ensure any issues are addressed quickly and professionally.
- Identify opportunities to improve install workflows, documentation, or communication.
- Participate in team meetings to share feedback from field experiences.
