The Receiving Clerk is responsible for supporting the day-to-day receiving, storage, and distribution of supplies throughout the hotel. This position ensures that products and materials are received accurately, stored appropriately, and made available to hotel departments in a timely and organized manner. The Receiving Clerk works closely with the Purchasing team, vendors, and operating departments to maintain accurate inventory levels, support cost control, and ensure the hotel has the supplies needed to deliver an exceptional guest experience.

• Receive verify quantities, quality, and condition of products against purchase orders, invoices, and delivery documents.
• Inspect incoming products for accuracy, damage, expiration dates, and proper packaging.
• Organize and store products in designated storerooms and inventory areas according to established procedures.
• Maintain clean, orderly, and secure storerooms at all times.
• Distribute supplies and products to hotel departments as requested and according to established par levels.
• Assist with maintaining accurate inventory counts and records.
• Properly label, date, rotate, and store products using established inventory control procedures.
• Follow FIFO (First In, First Out) procedures where applicable, particularly for food and beverage products.
• Ensure food, beverage, cleaning supplies, chemicals, and other products are stored in their designated areas and according to applicable safety requirements.
• Maintain professional and productive relationships with vendors and hotel colleagues.
• Maintain accurate documentation related to receiving, inventory, and purchasing activities.
• Communicate discrepancies, shortages, damaged merchandise, and delivery issues promptly.
• Follow workplace safety procedures.
• Protect company assets and maintain appropriate security of inventory and storeroom areas.

Qualifications

• Previous experience in purchasing, receiving, inventory, storeroom, warehouse, or a related hospitality environment preferred.
• Strong organizational and time-management skills.
• Strong attention to detail and accuracy.
• Ability to work independently while also collaborating effectively with hotel departments.
• Ability to communicate clearly and professionally with colleagues, vendors, and leadership.
• Basic computer skills and ability to learn hotel systems.
• Ability to accurately handle numbers, quantities, invoices, and inventory records.
• Ability to prioritize multiple tasks in a fast-paced environment.
• Must be able to maintain confidentiality and handle company information appropriately.

Physical Requirements

• Ability to stand and walk for extended periods.
• Ability to regularly lift, carry, push, and pull supplies and inventory.
• Ability to safely lift items weighing up to 50 pounds.
• Ability to bend, stoop, reach, and maneuver within storage and receiving areas.
