Under general supervision, independently performs a wide variety of legal secretarial and courtroom duties, as assigned.
Essential Duties and Responsibilities- Opens and maintains case files, ensuring that pertinent documents are included and properly executed.
- Completes Orders to Appear and sets hearings for arraignments, pre-trials, and final hearings in coordination with Court Coordinators.
- Processes all notices from pre-trials, arraignments, scheduling Plea hearings, and other hearings; provides copies of notices to all appropriate parties.
- Accepts motions, letters, affidavits and other legal documents, and files and distributes copies to appropriate parties.
- Receives and reviews court dockets; prepares for hearings and trials by pulling and checking case files; delivers files to appropriate court.
- Attends court proceedings, as assigned; accesses automated systems to obtain a variety of information requested by the court such as pending cases in other courts, warrants, jail credit, dispositions, and terms of probation; attests to defendant’s signatures.
- Prepares Judgments and other legal documents (per Judge’s instructions), using computer software and ensuring that proper legal references and wording are included.
- Determines court fees for defendants according to case type, number of arrests, and other factors; accepts, receipts, and credits payments received in person or by mail from defendants; endorses checks and forwards to County Treasurer.
- Reports actions taken on the docket to Court Administrators; processes disposition of court cases by checking documents for completion, including proper signatures.
- Closes case files when final orders are signed by judges; ensures that all case documents are included, completed properly and contain necessary signatures; mails final order notices to all parties involved.
- Interacts professionally and effectively with a wide variety of persons, including attorneys, judges, Court Coordinators;
County office representatives, and the public. - Delivers files and legal documents to Court Coordinators and other departments, as needed.
- Oversees the scanning and archiving of legal records and documents; assists staff with records scanning and/or records maintenance questions or problems.
- Prepares certified copies of court cases upon request of the public, County and District Attorney’s Offices, and other local government agencies.
- Answers multiple-line telephone; provides information to callers, as appropriate; transfers calls or takes and relays accurate messages, as appropriate.
- Maintains confidentiality of information and follows departmental procedures for releasing documents and case information.
- Attends meetings and training sessions; performs other duties, as assigned.
- Knowledge of general office operations and records maintenance; knowledge of the operation of personal computers for inquiry, data entry, and the preparation of legal documents; knowledge of legal terminology, documents, proceedings, and processes; knowledge of English, spelling, and grammar.
- Ability to perform work responsibilities in a timely and accurate manner; ability to work independently and meet regular deadlines; ability to accurately compute court costs and perform related mathematical calculations; ability to work effectively with staff and others; ability to operate a variety of office equipment and computer software.
- Skill in oral communication and interpersonal relations.
Works in a well-lighted, air-conditioned environment; prolonged periods of sitting and periodic walking, standing, bending, and reaching; occasional lifting up to 15 lbs; visual acuity, hearing ability, and manual dexterity required.
Education and/or Experience RequiredTwo years of clerical, secretarial, or general office experience; OR, one year of experience providing knowledge of legal documents and terminology; OR, completion of a recognized legal assistant training program.
