Under general supervision, performs clerical and general office duties of moderate difficulty. This classification is distinguished from Criminal Records Clerk II by the performance of less complex and/or less diversified tasks requiring a narrower range of knowledge and skills.
Essential Duties and ResponsibilitiesProcesses incoming felony and misdemeanor warrants; verifies name, social security number, date of birth, offense committed, warrant number, and other relevant information, updates County and State automated record systems with arrest, warrant recall, bond, and other information; processes warrant recalls; completes pertinent information on warrant document, including arrest, transportation, commitment, bond and other fees and returns warrant to originating department. Receives subpoenas and prepares for assignment to warrant officer, as assigned;
completes subpoena form after service by officer and returns originator; enters out-of-county subpoena, citation, summons and writ information in computer; processes and forwards out-of-county service to supervisor for billing. Processes Child Support Citations from the Texas Attorney General’s Office, as assigned; assists officers to locate and serve individuals by checking jail census, outstanding warrants, current address, employer, bond status and court dates;
forwards to supervisor for out of district service. Reviews incident, offense and accident reports prepared by deputies; verifies name, date and reporting officer information refers reports to Patrol Lieutenant if reports do not meet department records guidelines for juveniles; prints and posts incident reports; provides copies of incident and accident reports to requestors and collects fees. Processes case dispositions including verifying offender information, insuring warrant is closed and entering judgment information into automated records system;
records parole violator information in computer system; updates criminal records upon receipt of Abstract of Death. Receives teletype documents from other law enforcement agencies, accesses automated system to review offender status and to determine if offender can be released to other jurisdiction; notifies jail transportation unit to pick up Tom Green County offenders arrested in other jurisdictions; calculates and enters time-served credit into offender records.
Conducts criminal record checks for law enforcement and government agencies, prospective employers and other organizations; provides printed records to requester and collects required fees. Answers incoming calls to the Sheriff’s Department; utilizes broad knowledge of department and county operations to answer questions or to direct calls to proper parties; transfers appropriate calls to the Dispatch Unit; communicates with callers in a service-oriented and professional manner.
Assists the public at the reception counter, including collecting fees, explaining bond procedures, filling out forms and answering questions. Serves as relief Dispatcher, as assigned; responds to incoming calls by two-way radio and 911, telephone and teletype lines; dispatches patrol units as needed; performs criminal record and vehicle title and registration check as requested by field officers; maintains incident and activity logs;
accesses state and national criminal record systems to obtain or update data; updates warrant and stolen property information on automated databases. Generates or prepares reports such as bookings, releases, jail census, bond transactions, and subpoena service and distributes to appropriate persons. Opens and distributes inter-office and postal service mail, purges files and shreds documents in accordance with records retention schedule;
sorts documents in alphabetical or numerical order; attends meetings and training sessions; performs other duties, as assigned.
