Job Summary: Provides administrative, operational, and program support for the Doctor of Physical Therapy (DPT) Program and Physical Therapy Department. Coordinates clinical education processes, manages program databases and contracts, supports accreditation and assessment activities, assists with departmental events and community engagement initiatives, and serves as a liaison between students, faculty, clinical partners, and university departments to ensure efficient program operations.
Essential Duties Clinical Education and Contract Management- Coordinate, establish, renew, and maintain clinical affiliation agreements and contracts for the Physical Therapy Department.
- Collaborate with other academic programs and departments to ensure shared clinical contracts remain current, compliant, and efficiently managed.
- Maintain records related to clinical education activities and partnerships.
- Manage the EXXAT clinical education database, including student records, placement information, compliance tracking, and clinical maintenance requirements.
- Maintain departmental records, reports, surveys, accreditation documents, faculty IDEA reports, and student performance data.
- Ensure secure storage, accessibility, and organization of program information.
- Assist with activities related to CAPTE accreditation, assessment reporting, program evaluation, and continuous quality improvement initiatives.
- Develop, distribute, and manage surveys related to course evaluations, clinical education experiences, and accreditation requirements.
- Compile reports and prepare documentation for internal reviews and external reporting.
- Coordinate departmental events and activities, including job fairs, awards ceremonies, pro bono clinics, guest lectures, Lunch and Learn programs, student interviews, advisory board meetings, and other on-campus and off-campus events.
- Schedule meetings, maintain calendars, prepare agendas, and record meeting minutes as needed.
- Assist with planning and execution of program recruitment, community engagement, and educational activities.
- Serve as the primary point of contact for departmental communications by answering phones, responding to inquiries, and assisting students, faculty, clinical partners, and visitors.
- Coordinate room reservations, work orders, inventory management, purchasing support, and office operations.
- Supervise student workers and provide administrative support to faculty, the Director of Clinical Education, and department leadership.
- Perform other duties as assigned.
Knowledge, Skills and Abilities:
Knowledge- General office procedures, records management practices, and administrative support functions.
- Budget tracking, expense reporting, and purchasing processes.
- Customer service and business communication practices.
- Microsoft Office Suite, Adobe Acrobat, Google Workspace, and database systems such as EXXAT.
- Verbal, written, and interpersonal communication.
- Organization, prioritization, and time management.
- Maintain confidential and sensitive information with discretion.
- Complete multiple assignments accurately and within established deadlines.
- Coordinate meetings, events, and departmental activities.
- Establish and maintain effective working relationships with students, faculty, staff, and external partners.
- Work independently and exercise sound judgment.
- High school diploma or GED.
- One year of clerical, administrative support, or office experience.
- Experience using EXXAT clinical education software.
- Three years of secretarial, administrative, or office support experience.
