Office Administrator/ Coordinator
The Events & Special Projects Coordinator supports the planning, coordination, and implementation of events and special projects for Development and Alumni Relations. This position works closely with internal staff, vendors, guests, and campus partners to ensure events are organized, well-executed, and aligned with departmental goals.
- Event Management:
Coordinate the planning, logistics, and execution of Development and Alumni Relations events and special projects. Duties include venue arrangements, catering, invitations, event setup, tear down, follow-up activities, and coordination with vendors, internal staff, campus partners, donors, alumni, guests, and other stakeholders. - Administrative Duties:
Maintain detailed event files and records, including budgets, expenses, vendor information, setup details, event notes, and related documentation. Track event expenses and assist with payment processing to support accurate records and future event planning. - Event Planning and Organization:
Develop, maintain, and follow standardized pre-event, event-day, and post-event procedures to promote consistency, organization, and efficiency. Exercise discretion, sound judgment, and creativity when addressing event needs, changes, or unexpected issues. - Continuous Improvement:
Evaluate events by gathering feedback from key stakeholders, tracking event outcomes, and identifying opportunities for improvement. Use event results and feedback to strengthen planning processes and support the success of future events. - Development and Alumni Relations Support:
Assist with donor-related, alumni, and university events, including board meetings, ribbon cuttings, groundbreakings, and other special events. Represent Angelo State University and the Office of Development and Alumni Relations in a professional manner.
Skills and Abilities
- Knowledge of event planning, coordination, and execution practices.
- Knowledge of administrative procedures, recordkeeping, and file management.
- Knowledge of Microsoft Office Suite and related business software applications.
- Skilled in verbal and written communication.
- Ability to exercise discretion, sound judgment, and professionalism in a variety of situations.
- Ability to adapt to changing event needs, solve problems, and respond appropriately to unexpected issues.
Minimum Qualifications
Bachelor’s degree plus one year of related experience required. An equivalent combination of education and related experience may be considered.
Preferred Qualifications
Previous experience planning, coordinating, or supporting events or special projects.
