About

the Role

The 6-12 Registrar maintains all aspects of student records, beginning right from a student’s enrollment in San Domenico. This professional ensures that files are accurate, complete, up-to-date, and accessible to applicable community members (through the appropriate request processes and security standards). In addition, the Registrar is responsible for creating two separate primary schedules for the Middle School and Upper School, in collaboration with division leadership.

They manage teacher schedules, student course enrollment, and the add/drop process.

The registrar works mainly in the student information system, Veracross, while also maintaining an organized system to access and retrieve the hard copy files from prior years. Maximizing the features of the Veracross system is the foundation of this role, as that will allow for timely and efficient responses to community requests for information, schedule creation, and record keeping.

The ideal candidate will have a stellar attention to detail and work ethic. They should have a strong working knowledge of academic record-keeping systems; facility with digital databases; experience with academic scheduling, and clear collegiality and willingness to work across the school community.

Key Responsibilities

Academic Records

  • Maintain all student records, ensuring completion and accuracy, and retrieving missing records if necessary.
  • Lead the continued digitization of current and future student files.
  • Verify information and grades on transcripts.
  • Communicate grade, transcript, and progress report information to applicable community members.
  • Prepare written materials (e.g. reports, memos, letters, transcript requests for high school or college admission, etc.) for the purpose of documenting activities, eligibility, and enrollment.

Scheduling

  • Lead the preparation and modification of master, student, and teacher schedules for both Middle and Upper School divisions, in collaboration with division leadership.
  • In collaboration with the Middle School Director and Assistant Director of Upper School, manage the add/drop period.
  • Support the Upper School course request process to ensure accurate data entry and reports to inform staffing and scheduling.
  • Manage course placement for incoming students, scheduling placement testing days and additional assessment needs.

Data Gathering and Distribution

  • Communicate grade, transcript, and progress report information to applicable community members, in collaboration with the Assistant Director of Upper School.
  • Create reports and send data to relevant colleagues and departments to support eligibility assessments, institutional initiatives, etc.

Additional Responsibilities

  • Support the Upper School Academic Office with a variety of administrative needs.
  • Serve as part of the Upper School standardized testing team, supporting the organization and proctoring of PSAT, SAT, and AP tests.
  • Assist in implementing the final assessment schedule and coordinating make-up exams if necessary.
  • Manage the apostille and notarization processes in support of our international students
Required Qualifications
  • Bachelor’s Degree
  • At least 5 years of full-time administrative work experience in schools
