The Mortgage Accounting Specialist plays a critical role in the day-to-day financial operations of GFS Home Loans. This position is responsible for managing accounts payable, first payment administration, and a variety of accounting and operational functions that support the mortgage lending process.
This individual must possess exceptional attention to detail, strong analytical abilities, and advanced Microsoft Excel skills. The ideal candidate is highly organized, thrives in a fast-paced environment, and enjoys solving problems while maintaining the highest level of accuracy.
Experience in the mortgage banking industry is strongly preferred. Experience using AMB (Accounting for Mortgage Bankers) or similar mortgage accounting software is a significant advantage.
Essential Duties and Responsibilities Accounts Payable- Process vendor invoices accurately and timely.
- Match invoices with purchase orders and approvals.
- Prepare and process weekly check runs and electronic payments.
- Reconcile vendor statements and resolve discrepancies.
- Maintain vendor records, W-9s, and payment documentation.
- Respond to vendor inquiries professionally.
- Monitor outstanding payables and ensure timely payment.
- Assist with annual 1099 preparation.
- Monitor all newly closed loans through first payment.
- Track first payment due dates and payment status.
- Research and resolve first payment issues with servicing partners, investors, borrowers, and internal departments.
- Coordinate with Customer Service, Secondary Marketing, Closing, and Loan Operations to ensure timely resolution of payment discrepancies.
- Maintain accurate documentation of payment activity.
- Prepare reports related to first payment performance and exceptions.
- Record and reconcile mortgage-related transactions.
- Assist with daily bank reconciliations.
- Prepare and reconcile general ledger accounts.
- Assist with month-end and year-end closing processes.
- Research accounting discrepancies and prepare correcting entries as needed.
- Support investor accounting and warehouse bank reconciliation activities.
- Maintain accurate financial records in accordance with company policies.
- Create, maintain, and improve Excel-based financial reports.
- Analyze financial data to identify trends, discrepancies, and opportunities for process improvement.
- Prepare recurring management reports and ad hoc analyses.
- Develop and maintain complex spreadsheets, formulas, pivot tables, lookups, and dashboards.
- Assist with audits by preparing requested documentation.
- Maintain accounting records in accordance with regulatory and company requirements.
- Cross-train within the Accounting department to provide backup coverage.
- Participate in process improvement initiatives and recommend efficiencies.
- Maintain confidentiality of all financial and employee information.
- Perform additional accounting and finance-related duties as assigned.
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field, or equivalent work experience.
- Minimum 3 years of accounting or accounts payable experience.
- Advanced proficiency in Microsoft Excel.
- Strong mathematical and analytical skills.
- Excellent organizational and time management skills.
- Exceptional attention to detail and accuracy.
- Ability to prioritize multiple tasks while meeting deadlines.
- Strong written and verbal communication skills.
- Ability to work independently with minimal supervision.

- Mortgage banking or mortgage servicing accounting experience.
- Experience with AMB (Accounting for Mortgage Bankers).
- Experience with general ledger accounting.
- Experience working with warehouse lending, investor accounting, or loan funding.
- Experience with ERP or accounting systems.
- Knowledge of mortgage loan life cycle and servicing processes.
