We are seeking a detail-oriented and highly organized Billing & Accounting Clerk to join our growing law firm. The ideal candidate will be responsible for managing the firm's billing, bookkeeping, accounts payable and receivable, trust accounting support, and general financial recordkeeping functions. This position requires strong accounting knowledge, excellent computer skills, and the ability to work independently while supporting attorneys, staff, vendors, and clients.
The successful candidate will have experience with legal billing software, Quick Books, Clio, and law firm accounting procedures, with a commitment to accuracy, confidentiality, and exceptional client service.
Essential Duties and Responsibilities
- Create, maintain, and reconcile accounting records using Quick Books, Clio, and other accounting applications.
- Process accounts payable and accounts receivable transactions.
- Reconcile bank accounts, credit card accounts, and vendor statements.
- Prepare financial reports, profit and loss statements, and customized accounting reports.
- Assist with month-end and year-end closing procedures.
- Maintain accurate financial records and supporting documentation.
Legal Billing
- Generate, review, edit, and distribute client invoices.
- Ensure timely and accurate billing in accordance with attorney time entries and firm policies.
- Monitor outstanding balances and assist with collections activities.
- Work with attorneys and staff to resolve billing discrepancies.
- Process client payments and maintain billing records.
- Prepare customized billing and accounts receivable reports.
Banking & Administrative Functions
- Perform banking activities, including deposits and account reconciliations.
- Assist with inventory control and office equipment and supply management.
- Maintain vendor records and process payments.
- Support internal financial audits and compliance procedures.
- Maintain confidentiality of all client and firm financial information.
Qualifications
Required
- High School Diploma or GED.
- Minimum of 2 years of bookkeeping, accounting, billing, or law firm accounting experience.
- Proficiency in Quick Books and Clio.
- Strong Microsoft Office skills, particularly Excel, Outlook, and Word.
- Experience managing accounts payable and accounts receivable.
- Excellent organizational skills and attention to detail.
- Strong mathematical and analytical abilities.
- Ability to work independently and effectively within a team environment.
- Excellent verbal and written communication skills.
Preferred
- Bachelor's Degree in Accounting, Finance, Business Administration, or related field.
- Prior law firm accounting or legal billing experience.
- Familiarity with trust accounting procedures.
- Experience preparing financial and management reports.
Knowledge, Skills & Abilities
- Strong knowledge of bookkeeping and accounting principles.
- Ability to learn new accounting and practice management software quickly.
- Understanding of financial statements, profit and loss reports, and general accounting terminology.
