Essential duties include the following:
* Provides administrative support to the high-level executive team and provides back-up support to the President and Chairman with the highest degree of confidentiality, accuracy, quality and efficiency. Duties may include but are not limited to opening, sorting, and delivering mail; coordinating schedules and travel arrangements; answering and routing incoming telephone calls; composing correspondence; preparing mileage, travel and business expense reports;
ordering supplies, and reconciling corporate credit card charges/receipts.
* Works closely with team of Executive Assistants to ensure continuous coverage for executive suite, to include coordinating lunches and time off. Must serve as a back-up to each other and assist other executives, as needed.
* Coordinates recurring meetings on behalf of the EVP Chief Administrative Officer, EVP Chief Information Officer and Chief Security Officer, to include coordination of calendars, locations, agendas and refreshments.
* Receives and screens communications for executive team, including telephone messages and email, and provides assistance using independent judgment to determine those that require priority attention to include returning calls on behalf of executive team.
* Manages the distribution of corporate sports and entertainment event tickets by developing distribution packets, obtaining accurate customer and prospective client information across the organization, tracking ticket usage, communicating guest information, and meeting special ticket requests to maximize SWBC's market position and to promote and generate business.
* Performs other duties as required.
Serious candidates will possess the minimum qualifications:
* Associate's Degree in Business, Communications, or related field, from an accredited college or university or equivalent work experience required.
* Minimum of five (5) years high-level executive administrative support or related experience.
* Experience in insurance administration or sales preferred.
* Able to type at least 50 wpm accurately.
* Proficient with Microsoft Office products such as Word, Excel, PowerPoint and Outlook.
* Proficient with on-line computer communication operations.
* Excellent interpersonal, organizational, and telephone etiquette skills.
* Able to communicate, both verbally and in writing, with all levels of individuals.
* Self-starter, able to work independently, and exercise sound judgment in dealing with highly confidential information.
* Able to work under sometimes stressful conditions while maintaining professionalism and enthusiasm.
* Able to lift 10-20 lbs. of files, marketing materials, manuals, or supply boxes.
* Able to stoop, kneel, and/or sit for long periods of time.
* Able to travel locally to attend and/or host scheduled or spontaneous sporting or other various events.
