GENERAL DESCRIPTION OF WORK:

Accountable for performing a variety of tasks associated with payroll timekeeping for all pay groups while maintaining a high level of accuracy. Utilize payroll system, time and attendance software, and other programs in day-to-day operations. Additional duties, include but are not limited to verifying work hours, updating timekeeping records, issuing earnings statements, preparing and issuing payroll checks to employees, investigating and resolving payroll discrepancies, maintaining and updating payroll records, and preparing periodic payroll reports.

Responsible for complying with all VIA policies, procedures, and processes. Work is subject to automatic and periodic verifications. Performs work under general supervision.

ESSENTIAL FUNCTIONS:

Responsible for verification of operator and maintenance personnel pay time as recorded in the Trapeze OPS timekeeping system and the Maintenance timekeeping system. Also responsible for maintaining roster changes for Maintenance employees.

Responsible for handing complex accounting duties in the preparation, processing, and maintenance of payroll timekeeping records.

Research payroll and deduction record keeping issues including sick leave and vacations and perform appropriate action as needed.

Accountable for inputting data into computerized timekeeping system from electronic or paper record submissions and compute wage, overtime, and other types of pay,

Prepare required documentation and calculations for the processing of special check runs.

Handle general inquiries regarding payroll, deductions, and time/attendance.

Review and audit timekeeping and other payroll related records.

Processes employee and retiree changes for W-4s and direct deposits.

Compile payroll data for management, auditors, and others as required.

Perform tasks to establish and maintain employee payroll records.

Assure timely responses to employee and retiree inquiries regarding pay, deductions, and time/attendance.

Responsible for researching and providing payroll information for employee verifications from outside sources, open records requests, and legal requests.

Responsible for maintaining tool allowance balances and reimbursements.

Serve as back-up for other payroll specialists.

Plans and monitors work production timelines to meet deadlines.

Protect the confidentiality of current and past employees and retirees.

This job description excludes marginal functions that are incidental to performing the job. Other duties may exist.

EDUCATION AND EXPERIENCE:

High School education plus additional specialized business courses of 1 to 3 years Trades Training, and three (3) years of payroll experience, or an equivalent combination.

Experience with Union's is preferred.

ADDITIONAL REQUIREMENTS:

Solid knowledge of relevant legislation, policies, and regulations.

Experience in data collection, entry and reporting with great attention to detail.

Skilled in using Microsoft Office suite including Word, Excel, Outlook, and Teams; and have a willingness to learn and work with new technologies.

Must possess excellent organizational skills and be able to prioritize multiple tasks with a high degree of accuracy while meeting deadlines.

Must have excellent written and oral communication skills with an aptitude for problem solving.

Must be able to work collaboratively with others in a team setting.

Must be able to maintain confidentiality of sensitive material.

Must be able to use 10-key by touch with speed and accuracy.

Must have the ability to meet and deal tactfully with the public and employees and maintain effective working relationships.

Familiarity with accounting principles and practices.

Exceptional math and numerical skills.

Must be able to sit for prolonged periods of time and be fully capable of utilizing calculator and computer keyboards.

Must have ability to follow complex oral and written instructions.

Must be able to maintain good work attendance.
