Position Summary

Mosaic Human Capital Solutions is hiring an Administrative Assistant on behalf of a leading company in the San Antonio area. This position supports day-to-day office operations by providing administrative and operational assistance to leadership and field teams.

The individual will assist with document preparation, scheduling, data entry, communication coordination, and maintaining organized records. This role requires strong organizational skills, professionalism, and the ability to manage multiple priorities in a dynamic environment.

This position will begin part-time, with the opportunity to transition to full-time based on performance and business needs.

Key Responsibilities
Administrative Support
  • Answer and route incoming calls and correspondence professionally.
  • Prepare and organize documents, reports, and internal communications.
  • Maintain digital and physical filing systems.
  • Perform accurate data entry and record maintenance.
Operations Support
  • Assist with jobsite documentation and compliance paperwork.
  • Coordinate communication between office staff and field teams.
  • Support scheduling, calendar coordination, and meeting logistics.
  • Assist with onboarding documentation and general administrative processes.
Office Coordination
  • Maintain office supply inventory and vendor communication as needed.
  • Support leadership with special projects and administrative initiatives.
  • Identify and recommend process improvements to enhance operational efficiency.
Qualifications
  • Minimum of 2years of administrative experience required.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Professional demeanor and strong interpersonal skills.
  • Bilingual (English/Spanish), is a plus.
