Job Summary
The administrative assistant facilitates the efficient operation of the office by performing a variety of clerical and administrative tasks while providing high-level administrative support to the entire team.
Duties / Responsibilities- General office clerical and administrative tasks.
- Welcomes and directs visitors – offers and serves refreshments, as necessary.
- Telephone/receptionist duties.
- Handles daily incoming mail and maintains an accurate record of outgoing mail.
- Handles daily company email correspondence, faxing, scanning, word processing, and data entry.
- Responds to and resolves administrative inquiries and questions.
- Maintains filing systems as assigned. Accurately organizes and maintains paper documents and electronic files.
- Maintains a system for recording expenses. Light data entry/accounting experience is a plus.
- Monitors office supplies; maintains a list of supplies that need to be replenished or special-ordered. Maintains organization of storage cabinets for supplies.
- Coordinates maintenance of office equipment.
- Performs additional duties as assigned.
- Errands outside the office as requested.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent interpersonal and customer service skills.
- Excellent time management skills with a proven ability to meet deadlines.
- Extensive knowledge of office administration, clerical procedures, and record‑keeping systems.
- Extremely proficient with Microsoft Office Suite, PDF Editor, or similar software, with the ability to learn new or updated software. Quick Books knowledge is a plus.
- Ability to type a minimum of 50 words per minute.
- Ability to multitask and work with limited direct supervision.
- Ability to function well in a high‑paced and at times stressful environment.
- Ability to maintain the confidentiality of information and professional boundaries.
- Ability to work independently.
- High school diploma required;
Associate degree or bachelor’s degree in related field preferred. - At least two years of related experience required.
- Bilingual in English / Spanish, a plus.
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift to 15 pounds at times.
Ideal candidate has great attention to detail, related work history, is easy‑going, and able to work with many different personalities.
