SUMMARY

The HR Administrative Assistant provides administrative and operational support to the Human Resources department on a Part‑Time basis. This position assists with maintaining employee records, tracking compliance and training requirements, supporting performance evaluation processes, monitoring timecard approval workflows, and assisting with recruiting and job postings. This role is expected to support a variety of HR administrative and compliance‑related functions while maintaining confidentiality, organization, professionalism, and attention to detail.

Responsibilities may expand over time based on departmental growth, operational needs, and employee development opportunities.

ESSENTIAL FUNCTIONS
  • Tracks employee compliance requirements, training completions, certifications, licenses, and recurring reminders.
  • Assists with maintaining electronic employee personnel files and uploading HR-related documentation into company systems.
  • Supports performance evaluation processes, including tracking due dates, sending reminders, collecting documentation, and maintaining records.
  • Reviews employee timecard approval statuses and follows up regarding missing approvals, corrections, or incomplete submissions.
  • Assists with creating, posting, and monitoring job advertisements across recruiting platforms and company systems.
  • Supports onboarding activities, including document collection, employee communications, and follow‑up tasks.
  • Maintains HR trackers, spreadsheets, logs, and departmental records.
  • Provides administrative support related to HR compliance initiatives, audits, reporting, and internal processes.
  • Maintains confidentiality and supports compliance with company policies, government contracting requirements, and record‑keeping standards.
  • Responds professionally to employee and management inquiries while providing quality customer service.
  • Assists with special projects and additional administrative responsibilities as assigned.
  • May provide support with payroll administration, government contract invoicing, compliance tracking, or operational tasks as business needs evolve.
  • Performs additional duties and accepts other responsibilities as may be assigned.
EDUCATION
  • High School diploma or equivalent, required.
  • Associate’s degree or coursework in Human Resources, Business Administration, or related field preferred.
POSITION REQUIREMENTS
  • Minimum of 5 years of administrative, HR, payroll, compliance, or office support experience, required.
  • Strong organizational skills and attention to detail, required.
  • Ability to maintain confidentiality and handle sensitive information professionally, required.
  • Strong written and verbal communication skills, required.
  • Proficient in Microsoft Office products, including Outlook, Excel, and Word, required.
  • Ability to manage multiple priorities and meet deadlines in a fast‑paced environment.
  • Ability to work independently while following established processes and procedures.
  • Experience with HRIS systems, timekeeping systems, applicant tracking systems, or electronic file management systems preferred.
  • Government contracting experience or familiarity with compliance‑related environments is a plus.
