Role Description

We are seeking a highly organized, proactive Executive Assistant & Office Coordinator to provide strategic administrative support to senior leadership while ensuring the smooth day-to-day operation of multiple office locations. In this dual‑role position, you will manage complex executive calendars, travel, oversee communications and correspondence, track key initiatives and deadlines, and support special projects for firm leadership. You will serve as a trusted partner who anticipates needs, exercises sound judgment, and maintains the highest level of professionalism and discretion when handling confidential information.

In addition to executive support responsibilities, you will coordinate office operations, meeting logistics, client and contact management, office resources, onboarding activities, and company events. The ideal candidate has at least five years of experience supporting senior executives or partners, exceptional organizational and communication skills, and advanced proficiency in Microsoft Outlook, Excel, and Word. Success in this role requires a resourceful, detail-oriented professional who thrives in a fast-paced environment, excels at problem-solving, and can effectively balance competing priorities while delivering outstanding support to both leadership and the broader team.

Experience in a professional services environment is preferred.

Qualifications
  • Strong executive administrative assistance and general administrative assistance skills, including calendar management, meeting coordination, and document preparation.
  • Experience providing executive support, including handling confidential information, prioritizing competing requests, and supporting senior leaders.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with colleagues, clients, and partners.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfort learning new office and collaboration tools.
  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Demonstrated ability to work both independently and collaboratively, with a customer-service mindset.

    Previous experience in a professional services, architecture, design, or related environment is preferred.
  • High school diploma or equivalent required; associate or bachelor’s degree in Business Administration or a related field is a plus.
