The position provides administrative support to the eligibility unit supervisor, eligibility staff, and other positions within the operations and support administration area. The position interacts routinely with Texas Department of Family and Protective Services staff, SJRC Texas|Belong staff, and the general public. This position requires daily attendance in the office while supporting teleworking staff.

This position will be responsible for managing proactively a wide range of administrative duties and processes required to support the team and regional leadership as needed. This person will work multiple priority activities concurrently that require considerable coordination and follow-through to meet requirements.

Essential Job Functions
  • Performs data entry into IMPACT and other electronic programs and systems.
  • Answers and screens telephone inquiries; takes and routes messages and assists with DFPS switchboard on a rotating basis.
  • Prepares and maintains statistical reports, leave and personnel records, case control systems, case records and related files for the unit.
  • Process purchase orders as directed.
  • Maintains records related to requests for Vital Records.
  • Sends out monthly reminders for recertification of Foster Care Eligibility and Adoption Assistance benefits. Maintain logs as appropriate to ensure compliance with due dates.
  • Types correspondence, forms narratives, travel vouchers, meeting notes, performance evaluations, and other documents to support work of the unit and files related documents.
  • Coordinates, tracks, and maintains record keeping and filing systems for multiple projects and ongoing tasks.
  • Assists in planning, coordination, set up, and general arrangements for special meetings, conferences, and training sessions.
  • Provides program and agency information and/or makes referrals to other community resources.
  • Greets visitors, responds to general questions, and directs callers to proper location.
  • Performs other duties as assigned and required to maintain unit and program operations.
