  • Position Mission:
    Provide secretarial and clerical support for the Special Education department at the school site. Assist the Special Education Manager with administrative details and perform other general office duties as assigned.
Minimum Qualifications
  • High school diploma or GED.
  • Excellent knowledge of specific computer programs such as Word, Excel, Google Drive, Google Calendar.
  • Ability to work independently.
  • Friendly and professional demeanor.
  • Experience maintaining and prioritizing a calendar.
  • Exceptional verbal and organizational skills.
  • Skilled in data entry, filing, telephone, and written communication skills.
  • Ability to maintain confidentiality.
  • Knowledge of special education is preferred.
  • Bilingual preferred.
Major Responsibilities and Duties
  • ARD Meeting Coordination and Tracking
    • Ensure all ARD meeting timelines are met, including 20‑day permanent placement ARDs for transfer students.
    • Schedule Annual ARD meetings 30 days in advance and REED meetings 60 days in advance.
    • Check teacher availability, contact parents for scheduling, send formal meeting notices and invites.
    • Maintain a digital calendar of all ARD due dates and scheduled meetings.
    • Collaborate with SPED leadership and campus administration.
  • ARD Preparation and Follow‑Up
    • Ensure ARD room and technology are prepared. Coordinate distribution of PLAAFP to teachers.
    • Reconcile 720 PEIMS reports with eSpEd bi‑weekly to ensure IEP and FIE dates match.
    • Confirm all digital and printed information archived within 24 hours of a meeting.
    • Ensure parents receive a copy of the ARD within 24 hours and provide updated accommodations to staff.
  • Evaluations and Referrals
    • Track campus parent request referrals via designated tracker.
    • Assist gathering information for referral packets, ensure administrative forms sent within 37 days.
    • Communicate with assessment staff for initial ARD due dates and add to campus calendar.
  • Additional Duties
    • Assist program staff with clerical tasks.
    • Perform routine checks and comparisons of reports/records for compliance.
    • Prepare and complete mailing processes of student records or correspondence.
    • Organize and maintain Special Education student folders and permanent records.
    • Process record requests from other schools/colleges.
    • Schedule students for testing and assessment appointments.
    • Answer telephones and respond to inquiries.
  • Student and Parent Support
    • Assist with general program information.
    • Use School Pathways to add, edit, and monitor Special Education students.
    • Compile compliance reports for all Special Education students.
    • Audit and review internal monitoring reports.
    • Travel to multiple resource centers.
    • Support enrollment and identification of Special Education students.
    • Participate in department and program training and meetings.
    • Communicate effectively and timely with SPED departments.
    • Facilitate monitoring and completion of compliance checklists of IEPs.
    • Operate SEIS related CASEMIS functions.
    • Understand and operate PEIMS, ESPED, and TxEIS.
    • Strictly adhere to timelines, attendance and all Jubilee policies.
    • Perform other tasks as assigned.

    • Demonstrate productive skills to raise community and parent involvement.
    • Actively participate in student recruitment efforts.
