Principal's Secretary
The position of a Principal's Secretary is available immediately at East Central ISD for the school year. All individuals (district employees included) who are interested in this position must apply online through Frontline via the district website. PRIMARY
PURPOSE:
Ensure efficient operation of the school administrative office and provide clerical services for the school's administrative staff.
MAJOR
RESPONSIBILITIES AND DUTIES:
* Prepare campus communications, correspondence, forms, formulas, manuals, reports, purchase orders, and payment authorizations following district standards and requirements. Prepare instructional materials and as requested.
* Maintain a daily teacher attendance log and records for substitute teachers. Monitor and process personnel time records including leave requests and reports. Compile information and submit to the central office according to established deadlines.
* Maintain the school calendar of events.
* Compile, maintain, and file all reports, records, and other documents as required. Maintain student records according to established procedures.
* Receive incoming calls, take reliable messages, and route to appropriate staff.
* Assist students, teachers, and parents as needed.
* Schedule meetings and appointments and maintain a calendar for the principal.
* Prepare and make cash deposits for activity account(s). May be responsible for the maintenance of activity checkbook(s) and ledger(s).
* Assist with campus budget preparation and maintain accurate records of expenditures. Prepare and process purchase orders and receive, store, and issue supplies and equipment.
* Maintain inventory of fixed assets, equipment, and supplies.
* Assist with planning, preparation, and setup of faculty meetings and campus activities.
* Sort, distribute, or deliver mail and other documents.
* Receive, store, and issue supplies and equipment.
* Maintain confidentiality.
* Follow district safety protocols and emergency procedures.
* Maintain physical and computerized files including mailing lists, student records, visitor logs, and office communication.
* Update handbooks, policy manuals, and other documents as assigned.
* Perform routine bookkeeping tasks including simple arithmetic operations to maintain campus budget records.
* Perform other duties as assigned.
Note:

MINIMUM QUALIFICATIONS:
Education/Certification:
High school graduate or GED
Special Knowledge/
Skills:
Previous secretarial experience preferred (inside or outside public education)
Proficient keyboarding and file maintenance skills
Must possess strong organizational, communication, and interpersonal skills
Ability to use software to develop spreadsheets, databases, and do word processing
Ability to maintain accurate and auditable records
Knowledge of basic accounting principles
Ability to follow verbal and written instructions
Ability to perform a variety of tasks often changing assignment on short notice
Must perform assigned duties with a minimum of supervision
Bilingual preferred
Supervisory Responsibilities:
Monitor the work of campus secretaries and clerical aides
EQUIPMENT USED:
Standard office equipment including personal computer and peripherals
WORKING CONDITIONS:
Mental Demands/Physical Demands/Environmental Factors:
Maintain emotional control under stress; work with frequent interruptions. Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting. Repetitive hand motions; frequent keyboarding and use of a mouse; occasional reaching. Occasional light lifting and carrying (less than 15 pounds). May work prolonged or irregular hours.
PERIOD OF EMPLOYMENT: 220 days-basis
