The Ministry Admin Assistant provides direct support to the Director of Connections, Outreach & Growth Track Department. This full‑time in‑office role involves administrative and event coordination for initiatives including Summit Life, Summit Groups, Water Baptisms, Outreach days, Volunteer Trainings/Meetings, and other departmental activities. The assistant serves as the primary point of contact, managing schedules, supplies, and communications.
Responsibilities- Weekly support to the Growth Track Pastor for Summit Groups and related ministries.
- Summit Groups & Growth Track Classes
- Support Summit Group Leaders.
- Maintain group calendars in Planning Center.
- Collect weekly attendance and report to the Pastor.
- Purchase and dispense leader supplies and signage.
- Prepare on‑campus rooms for groups and secure building access.
- Summit Life
- Reserve locations and plan set‑up.
- Communicate with volunteers, explain roles and timeline.
- Supervise set‑up, volunteers, and tear‑down on the day.
- Manage registrants and purchase supplies.
- Maintain inventory and restock as needed.
- Enter returned paperwork into workflow.
- Track participant paperwork and follow up.
- Coordinate printed materials and personal data updates.
- Water Baptism/Class
- Coordinate with volunteer leaders and facilities.
- Check water level, temperature, and conditions.
- Track and communicate with registered participants.
- Prepare on‑campus location and maintain equipment inventory.
- Ensure towels and supplies are returned, cleaned, and dry.
- Follow up with graduates and invite to Summit Life Class.
- Summit Volunteers, Outreach, and Corporate Events
- Book rooms for trainings, lunches, and socials.
- Supply needed items for each volunteer team.
- Communicate event details to volunteer leaders.
- Support Serve Day, Outreach, and corporate events.
- Provide administrative help as needed to the Director.
- Submit purchase orders and manage departmental purchases.
- Track purchase orders, receipts, and orders weekly.
- Cover front‑office lunch hour once a week.
- Perform other assigned duties as needed.
- Strong personal faith in Jesus Christ.
- High school diploma or GED.
- 5–6 years of administrative support or event management experience (preferred).
- Proficient with Microsoft Office (Word, Excel, PowerPoint) and Office 365.
- Familiarity with Planning Center or a similar church database (preferred).
- Excellent organizational and time‑management skills with a strong attention to detail.
- High flexibility and readiness to pivot.
- Calm response to emergent or stressful situations.
- Willingness to seek help and set boundaries.
- Strong verbal and written communication.
- Comfortable with change and continuous improvement.
- Ability to build and maintain professional relationships with ministries.
- Multitasker with prioritization skills.
- Skilled time manager.
- Self‑starter and independent worker.
- Anticipatory of ministry needs.
- Proactive with initiative.
Full‑time in‑office. Work days are Sunday through Thursday, with hours varying by events; some evenings may be required. Compensation: $15–$17 hourly.
