Job Description

AYS Inc is seeking a highly organized and motivated Administrative Assistant to join our team in Texas, Texas. The ideal candidate will have excellent communication and organizational skills, as well as the ability to handle multiple tasks and prioritize effectively. As an Administrative Assistant, you will play a crucial role in supporting our team and ensuring the smooth operation of our office.

Responsibilities
  • Provide administrative support to the team including scheduling meetings, managing calendars, and making travel arrangements
  • Answer and direct phone calls, take messages, and respond to inquiries
  • Manage and organize office documents, files, and records
  • Prepare and edit correspondence, reports, and presentations
  • Assist with project coordination and follow-up to ensure deadlines are met
  • Order and maintain office supplies and equipment
  • Greet and assist visitors and clients in a professional and friendly manner
  • Perform general clerical duties such as photocopying, faxing, and mailing
  • Maintain confidentiality of sensitive information and handle it with discretion
  • Other duties as assigned
Qualifications
  • High school diploma or equivalent, college degree preferred
  • 2+ years of experience in an administrative role
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Excellent communication and interpersonal skills
  • Strong organizational and time-management abilities
  • Ability to handle confidential information with professionalism
  • Detail-oriented and able to multitask effectively
  • Proactive and able to work independently as well as in a team
  • Knowledge of basic accounting and bookkeeping principles is a plus
  • Bilingual in English and Spanish is a plus
