We are seeking a highly organized, detail-oriented, and proactive Accounting Associate to join our dynamic team. The ideal candidate will be responsible for providing comprehensive support to our executive team and serving as a backup for our administrative team. This role requires a blend of accounting and operational expertise, with a strong focus on maintaining efficiency and accuracy in all administrative tasks
Key Responsibilities- Accounting Support:
Assist with accounting tasks such as data entry, reconciliation of accounts, and preparation of financial reports. Familiarity with accounting software (e.g., Quick Books, Excel) is a plus. Invoice, process, and record customer payments, and engage in ongoing collection practices (emails, phone call follow-ups). Track payables for the distribution of annual 1099‑nec forms and assist with the preparation and distribution of 1099‑nec to vendors. - Executive Support:
Provide high-level administrative support to the executive team, including scheduling, travel arrangements, and correspondence management. - Operational Support:
Oversee operational tasks including inventory management, procurement, and office maintenance. Ensure all operational processes run smoothly and efficiently. - Backup Support:
Serve as a backup for the administrative team, covering for any absences and ensuring that administrative tasks are completed on time. - Communication:
Serve as a point of contact for internal and external communications, ensuring all correspondence is handled professionally and promptly. - Project Management:
Manage multiple projects and deadlines simultaneously, ensuring all tasks are completed accurately and on time. - Training and Development:
Provide training and guidance to junior administrative staff, fostering a culture of continuous learning and improvement. - Compliance and Security:
Ensure all administrative processes comply with company policies and regulatory requirements. Maintain confidentiality and data security.
- Education:
Bachelor's degree in Business Administration, Accounting, or a related field. Equivalent experience will be considered in lieu of formal education. - Experience:
Minimum of 3 years of administrative experience, with at least 1 year in an accounting or operational role. Previous experience in a CPA firm is highly desirable.
- Proficiency in accounting software (Quick Books, Excel).
- Excellent organizational and time management skills.
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
