Business Support & Office Manager
The Business Support & Office Manager is responsible for coordinating executive support, office operations, and administrative and business support activities for OCI Terra Sus US. This role supports a small team environment and requires a high level of adaptability, ownership, and initiative.
The position will serve as a key liaison across internal and external stakeholders, support sales and operational activities, and assist in establishing new office locations and business operations. This individual will play a critical role in ensuring efficient, professional, and seamless day-to-day operations.
Essential functions include maintaining leadership workflow, coordinating complex calendars, preparing and organizing presentations, reports, correspondence, and executive materials, acting as a liaison between leadership and internal/external stakeholders, managing expense reports, overseeing daily office operations, coordinating meeting logistics, maintaining office systems, providing administrative and clerical support to the Terra Sus US sales team, supporting tracking of sales activities, coordinating logistics for client meetings, site visits, and sales-related events, assisting with data entry, reporting, and general administrative support related to business operations, coordinating establishment of vendor accounts and operational services, providing support to both domestic and international employees, coordinating across time zones to support communication and scheduling with global stakeholders, identifying opportunities to improve processes and drive operational efficiencies, and taking on additional duties and special projects as assigned.
Qualifications include a bachelor's degree in Business Administration, Office Management, or a related field, or equivalent work experience, three plus years of experience in executive support, office management or business operations support, strong organizational and time management skills, advanced proficiency in Microsoft Office, excellent verbal and written communication skills, high attention to detail and ability to maintain confidentiality, proactive, adaptable, and comfortable working in a fast-paced, evolving environment, and ability to work cross-functionally and support a wide range of business needs.
Physical demands include frequently lifting, carrying, moving, and positioning objects weighing up to 25 pounds unassisted, bending, stooping, crouching, ascending, and descending on a regular basis, and constantly observing, assessing, inspecting, communicating, detecting, conveying, and exchanging information.
