The development associate supports the college's fundraising efforts by providing comprehensive administrative, operational, and donor stewardship support to the Development Team. This position coordinates gift processing and acknowledgments, maintains donor records and development systems, supports the chief development officer and gift officers, coordinates meetings and events, and manages projects that strengthen donor relationships and advance the college's philanthropic priorities.

ResponsibilitiesAdministrative Support for Development Team
- Schedule meetings and coordinate calendars, resources and logistics for gift officers, the Chief Development Officer, and the Development team.
- Prepare RTAs, OOEFs, and process reimbursements for travel, entertainment, and other Development team expenses.
- Serve as a liaison between the Development Team and Business Services to ensure compliance with University policies and procedures.
- Manage the Development Team calendar, prepare meeting materials, and track follow‑up items and action steps.
- Maintain and update the donor database, including recording engagement activities, maintaining watch lists, and tracking event attendance.
- Maintain and organize electronic development files and records.
- Coordinate and track custom donor stewardship efforts, including birthday cards, get‑well cards, recognition gifts, and other donor outreach.
- Process, document, and track incoming gifts, including cash, checks, gifts‑in‑kind, and other charitable contributions, for deposit.
- Reconcile weekly gift reports and collaborate with Texas Development and financial partners to ensure gifts are processed accurately.
- Track pledges and manage pledge reminders.
- Prepare and coordinate the weekly production of donor acknowledgment letters for gifts, pledges, and other routine Development correspondence.
- Maintain and update acknowledgment letter templates.
- Generate weekly reports and oversee all aspects of acknowledgment letter production, including mail merges, formatting, proofreading, routing for signature, mailing, scanning, tracking, and filing.
- Track endowment plaques and coordinate updates to the College of Education Endowment Plaque Wall.
- Collaborate with the Director of Development Operations to prepare, edit, and organize materials for annual endowment impact reports.
- Partner with the Chief Development Officer, Director of Development Operations, and gift officers to support stewardship initiatives, including holiday gifts, thank‑you gifts, special mailings, and donor correspondence.
- Provide administrative and logistical support for Advisory Council meetings and regional alumni events, including coordinating supplies, preparing meeting materials, and assisting with event logistics.
- Support annual giving initiatives and special events.
- Percentage of time may increase based on project scope and departmental priorities.
- Provide front office support in SZB 2.804 by greeting visitors, answering questions, and welcoming guests.
- Answer and route incoming calls.
- Manage the Development team's Pro Card, office supply purchasing, and vendor relationships, including the copier/printer contract.
- Bachelor's degree.
- Three years of experience in development, fundraising, event planning, or a related field. Relevant education and experience may be substituted as appropriate.
- Excellent written and verbal communication skills, including strong attention to detail and accuracy.
- Strong organizational, time management, and project management skills with the ability to prioritize multiple tasks and meet deadlines in a fast‑paced environment.
