An Administrative Assistant provides crucial administrative and logistical support to an executive, managing calendars, travel arrangements, communications, and other tasks to ensure the executive's efficiency and productivity.
Key Responsibilities- Maintain office supplies and inventory.
- Organize and maintain files, records, and documents (physical & digital).
- Ensure office equipment functions properly.
- Answer phone calls, emails, and inquiries.
- Draft and edit letters, reports, and other communications.
- Coordinate internal and external meetings, taking minutes when necessary.
- Arrange meetings, appointments, and travel schedules.
- Maintain and update executive or department calendars.
- Remind team members of important deadlines and tasks.
- Input and update data in spreadsheets, databases, or company software.
- Prepare reports, presentations, and documentation.
- Support for Teams & Departments:
- Assist with event planning and logistics.
- Process invoices, reimbursements, and expense reports.
- Handle confidential and sensitive information with discretion.
- Customer Service & Front Desk Duties (if applicable):
- Greet and assist visitors.
- Direct clients and customers to the appropriate departments.
- Project Support:
- Assisting with projects, gathering information, and preparing presentations.
- Confidential Information:
- Handling sensitive and confidential information with discretion.
- Travel Arrangements:
- Booking travel, accommodation, and transportation for the executive.
Skills & Qualifications
Education:
High school diploma required; an associate’s or bachelor’s degree in business administration or a related field is a plus.
Experience:
1-3 years of experience in an administrative or office support role (preferred).
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management software.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
