Summary:

GENERAL DESCRIPTION OF WORK:

Responsible for managing administrative tasks related to the VIAtrans application process, specifically the internal management of the initial application stages, handling documentation and procedures efficiently. Assists applicants with inquiries and provides essential information to ensure a smooth and positive application experience. This position is responsible for delivering VIAtrans orientations for newly approved patrons, providing administrative support to the ADA and Accessible Services team, and contributing to VIA’s ADA projects, including the ADA Monitoring program, Navi Lens, supporting quarterly ATAC meetings, and other projects.

ESSENTIAL FUNCTIONS:

  • Responds to and addresses customer/applicant inquiries regarding VIAtrans eligibility in a prompt, courteous, and informative manner.
  • Provides information about VIA programs to customers with disabilities, offering guidance and assistance in accessing available resources and support.
  • Collects and enters all necessary application documentation into the system with the utmost accuracy and in a timely manner.
  • Oversees the scheduling process for functional assessments.
  • Delivers in-person VIAtrans new orientations.
  • Processes temporary VIAtrans eligibility requests from out-of-town visitors.
  • Provides administrative support for professionals within the department, assisting them in their daily tasks and projects.
  • Assists with agency-wide ADA projects, to include contributing to research efforts, coordinating events, and gathering necessary information.
  • Produces documents in Braille format; knowledge of Braille is not required.
  • Provides general administrative support such as managing files, processing correspondence, invoicing, and ordering supplies.
  • Proactively maintains the confidentiality of sensitive information.

REQUIRED

EDUCATION AND EXPERIENCE:

At minimum, completion of high school or equivalent, one year of business school or college, two years related experience, or an equivalent combination of the above.

PREFERRED QUALIFICATIONS:

Bilingual (English/Spanish) capability, both verbal and written, is preferred.

  • Strong interpersonal skills, both in person and by telephone.
  • Ability to establish and maintain effective working relationships across departments and leadership levels.
  • Ability to exercise patience and have a courteous demeanor while interacting with customers who may have communication and cognitive impairments.
  • Ability to prioritize and complete work with frequent interruptions.
  • Ability to accurately follow verbal and written instructions.
  • Ability to use and/or learn complex computer applications.
  • Ability to present information and answer questions in a professional, courteous manner.
  • Ability to maintain the confidentiality of sensitive data and information.
  • Ability to operate basic and specialized office equipment.
