International Affairs Front Desk Assistant (Work-Study)

Position SummaryThe International Affairs Front Desk Assistant provides a welcoming, professional, and helpful first point of contact for visitors entering International Affairs. The position will help direct visitors, respond to general inquiries, assist with basic office and reception functions, and support the professional presentation of International Affairs. The Front Desk Assistant reports to the Senior Director of International Services and Enrollment.
This applicant pool will remain online for the academic year and will be used to hire interested students as needed.
This is a student position open to current UIW students who may be hired through the Federal Work-Study Program.
Essential Functions- Greet guests and represent the Division of International Affairs in a professional, friendly, and welcoming manner.
- Direct and assist guests entering International Affairs, including providing directions to offices, meeting spaces, and events.
- Notify appropriate International Affairs staff when scheduled guests and visitors arrive.
- Maintain a professional appearance and a clean, organized, and welcoming reception area.
- Answer and appropriately route telephone calls and respond to general inquiries.
- File, copy, scan, and organize documents as needed.
- Collect mail and deliveries and track correspondence for the Division of International Affairs.
- Assist with special event, meeting, orientation, and reception preparation.
- Support parking reservations and parking arrangements for guests.
- Run occasional errands on the Broadway campus as needed.
- Assist International Affairs staff with special projects and other administrative tasks.
- Maintain confidentiality and exercise appropriate discretion when handling University information and interacting with guests.
- Provide exceptional customer service to individuals from diverse communities and cultures.
- Perform other duties as assigned.

- Experience with common computer applications, including Microsoft Office Suite (Word, Excel, PowerPoint), Cardinal Apps, and select web-based programs.
- Employee shall adhere to all applicable rules and regulations of the University, the Conference and the NCAA .
Current UIW student approved and eligible to participate in the Federal Work-Study program.

Preferred Qualifications- Previous work as a student worker, customer service representative or in a guest-facing role
- Bilingual (English/Spanish) or Spanish proficiency.
- Availability during normal business hours, Monday – Friday, 8 am – 5 pm, during the academic year.
- Depending on eligibility, may work up to but not exceed 20 hours per week.
- Work schedule to be determined, based on student schedule and Division needs.
- Occasional evening or weekend hours required solely for International Affairs events and meetings (excludes general community space events).
