An established organization specializing in commercial workplace solutions is seeking an Account Coordinator to support customer accounts and project execution. The Account Coordinator will serve as a key liaison between customers, Sales, Project Management, manufacturers, and internal operations to ensure orders, projects, and communications are managed accurately and efficiently.
Responsibilities
- Partner with Sales to understand customer requirements and prepare pricing, quotes, and proposals.
- Process quote revisions and convert approved quotes into customer orders.
- Enter customer purchase orders accurately into internal systems, ensuring specifications, pricing, and terms are complete.
- Monitor orders through manufacturing, shipping, delivery, and installation while providing timely updates to customers and internal stakeholders.
- Process change orders, revisions, cancellations, and pricing adjustments.
- Coordinate with Project Management, Warehouse, Dispatch, Installation, and manufacturing partners to support project schedules and successful deliveries.
- Support project budgeting, scheduling, documentation, inventory coordination, and order fulfillment activities.
- Maintain accurate account records, project documentation, and order tracking information.
- Notify Accounting of completed orders and project milestones to support invoicing and revenue recognition.
- Resolve customer questions related to orders, pricing, deliveries, and service while maintaining strong client relationships.
- Ensure contract, pricing, and project documentation accuracy while supporting compliance with company processes.
- Identify opportunities to improve coordination workflows and operational efficiency.
- Provide backup support for sales coordination and administrative functions as needed.
Qualifications
- Five or more years of commercial office furniture industry experience required.
- Experience supporting pricing activities and complex customer transactions preferred.
- Strong customer service, communication, and relationship management skills.
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- Strong attention to detail and problem-solving abilities.
- Experience coordinating projects, orders, and customer communications across multiple stakeholders.
- Proficiency with Microsoft Office and business systems.
- Bachelor's degree in Business Administration, Communications, Account Management, or a related field preferred.
