Job SummaryThe Project Coordinator, New Club Activation supports the onboarding and activation of newly acquired clubs into the LOVB ecosystem. This role assists in coordinating onboarding activities, tracking progress, and supporting communication across internal teams and club stakeholders to help ensure a smooth transition to operational readiness. You will play a key role in maintaining organization across onboarding workflows, updating systems, and supporting timelines and deliverables.
Additionally, you will contribute to youth enablement initiatives by assisting with communications, surveys, and program rollout efforts. This is an entry‑level role designed for someone eager to learn, grow, and contribute to delivering a consistent and positive club experience aligned with LOVB’s values.
- Assist in coordinating onboarding activities for newly acquired clubs, ensuring tasks are completed accurately and on time
- Schedule meetings and support preparation of materials, agendas, and follow‑up notes
- Document action items, timelines, and key updates from onboarding meetings
- Maintain onboarding trackers and systems (e.g., ) with accurate and timely updates
- Support communication with Club Directors, Regional Club Leaders, and internal teams to help track progress
- Follow up on assigned tasks and flag potential delays or issues to appropriate team members
- Assist in maintaining onboarding resources, templates, and documentation
- Support updates to onboarding tools and processes as directed
- Provide general administrative and coordination support to onboarding and cross‑functional teams
- Assist with coordination of youth initiatives, including timelines, communications, and materials
- Help maintain communication calendars and track outreach activities
- Support implementation of new programs at the club level by tracking progress and completion
- Assist in building and distributing surveys to club stakeholders
- Compile and organize survey results and feedback for review
- Maintain onboarding and activation data to support reporting and tracking
- Strong organizational skills with ability to manage multiple tasks and deadlines
- Clear and professional communication skills, both written and verbal
- High attention to detail and ability to follow established processes
- Foundational project coordination skills, including task tracking, timeline management, and follow‑ups
- Familiarity with project management tools (e.g., , Asana, Smartsheet, or similar) preferred
- Ability to learn new systems and tools quickly and apply them effectively
- Positive, team‑oriented mindset with a proactive approach to supporting others
- Basic analytical skills with ability to organize information and data
- Interest in youth sports or club environments preferred
- Bachelor’s degree in Business, Marketing, Communications, or related field preferred
- 0–1 years of experience in a coordination, administrative, or operations role
- Internship or academic experience supporting projects, programs, or team operations preferred
- Thrives in a fast‑paced, dynamic environment with shifting priorities
- Solutions‑oriented and able to identify when to elevate issues or challenges
- Strong collaborator with excellent verbal and written communication skills
- Capable of working independently while effectively partnering with a distributed, remote team
