Customer Service Rep, Event Manager / Planner
Reporting to the Supervisor, Visitor Experiences & Rentals, acts as a liaison between the client, vendors, and museum event staff (security and facilities) during museum rentals while providing outstanding customer service to the clients.
Essential Job Functions- Act as a liaison between client, vendors, and museum support staff (security and facilities) during museum rentals and provide an outstanding customer service experience to the client.
- Be present for duration of museum rentals to fully facilitate event load-in / load-out policies and procedures and ensure that all vendors /clients are adhering to the terms outlined in their contract.
- Coordinate with McNay Building Attendant to ensure rental spaces are clean and sanitized prior to and following event load-in, as well as coordinate with the head of contracted catering service to guarantee all museum protocol for waste disposal are being followed throughout the entirety of the event.
- Meet semi-monthly and/or as needed with Supervisor, Visitor Experience & Rentals to discuss upcoming rental events. Includes detailed debrief following rental event execution.
- Maintain consistent and current knowledge of all rentals-related systems and procedures (i.e., operations, security, etc.) to ensure vendors, clients, and rental event guests are properly informed and follow guidelines accordingly.
- Represent the McNay by upkeeping professional practices and effective communication with all museum staff, rental clients, vendors, and guests. Demonstrate sound judgement in respectfully and promptly addressing negative feedback, escalating extreme instances to direct supervisor, department head, and/or security in a timely manner.
- Performs other duties as required.
- Ability to multitask and demonstrate attention to detail.
- Professional appearance and demeanor are a must.
- Must have flexible working hours, as evening and weekend duty are required.
Skills:
- Ability to work independently, as well as to work in a team-based environment.
- Willingness to follow direction and adhere to supervision.
- Must have excellent verbal and written communication skills.
Education:
High School Diploma or equivalent.
Work Experience:
18 months to 2 years of experience in event planning and execution required.
