Manages and directs the center's operations/logistics and develops methods to measure department performance to ensure development/improvement programs are in place where necessary.
Responsibilities- Serves as the main point of contact for all building and equipment related activities, including space surveys/reports, space planning and allocation, space lease agreements, access requests, visitors, renovations, maintenance, and administrative office/lab/clinic setup and moves.
- Coordinates building repairs and renovations between Facilities Management and building occupants, often times coordinating multiple projects simultaneously.
- Acts as liaison between the School’s faculty, staff and students and the institutional service centers to assess technology, equipment, and/or facility needs and identifies associated costs, risks, priorities and timelines.
- Manages department equipment inventory process and assists staff with installing/decommissioning equipment.
- Manages the day-to-day operations in compliance and procedures.
Prepares reports and audits current policies and procedures to monitor efficiency of operations. Coordinates update of the School’s Policies and Procedures Handbook with each department. - Exercises budgetary control through regular review of expenditures and monitoring of budget status and takes corrective action when necessary.
- Ensures employee conformance to established practices and properly trains faculty and staff. Provides necessary onboarding training to staff and supervisors to ensure compliance with applicable policies, procedures and laws.
- Maintains and updates emergency and contingency plans and staff training. Coordinates annual IT risk assessment and the School’s Business Continuity and Disaster Recovery Plans.
- Ensures annual clinical/service contracts are reviewed/updated and routed to appropriate parties for approval and execution.
- Coordinates installation/termination of necessary utilities and communicates between appropriate departmental faculty, staff and institutional offices.
Performs all other business operations duties as assigned.
Qualifications- Ability to demonstrate in-depth knowledge of operations management concepts, practices and policies with the ability to use them in complex varied situations.
- Working knowledge of construction concepts and major building systems.
- Knowledge of general facility maintenance and space allocation and understanding of business, finance & management principles.
- Ability to coordinate the diverse components of the project by quality project planning, execution and change control to achieve required balance of time, cost and quality.
- Ability to lead, direct and contribute to initiatives and processes within the institution while creating a collaborative and respectful team environment and improving workflows.
- Detail oriented with meticulous planning and organizational skills while balancing multiple priorities.
- Strong verbal, written and interpersonal communication skills and ability to establish and maintain effective working relationships with multiple authority levels.
- Five (5) years experience is required.
This position may require the ability to maintain the security and integrity of UT San Antonio and its infrastructure per Texas EO-GA-48.
