Position Summary

Job Title: Clinical Staffing Coordinator

Position Type: Full Time

Shift: Day

We are looking for dedicated professionals to join our Skilled Nursing department and support the Assistant Director of Nursing by ensuring quality clinical care and compliance with regulatory requirements.

Responsibilities
  • Manage all nursing department schedules and keep the master schedule current.
  • Handle nursing staff time‑off requests according to departmental and company policies.
  • Serve as the main point of contact for caregivers to coordinate shift vacancies.
  • Maintain adequate staffing levels and coordinate schedule changes by locating alternative resources.
  • Resolve scheduling issues with staff and request assistance from leadership when needed.
  • Prepare and distribute draft schedules for the following month by the 15th of the current month; complete the final schedule by the 25th or as adjusted by the ADON.
  • Review staff attendance sheets with the ADON each week.
  • Ensure PRN staff receive calendars by the 1st of each month and that PRN calendars are completed and turned in by the 10th.
  • Discuss conflicts with staff members and resolve them before final shift distribution.
  • Complete daily staffing sheets for the upcoming month and ensure accuracy compared to the schedule.
  • Collect and verify shift change request forms for accuracy and compliance with guidelines.
  • Coordinate with payroll to ensure biweekly payroll accuracy, resolve missed punches, and ensure timecards reflect proper shift differentials.
  • Evaluate payroll journal for accuracy.
  • Serve as floor nurse to fill open staffing needs.
  • Track agency staffing weekly and ensure billing is correct prior to submission for payment.
  • Review tardy and absence reports for staff.
  • Handle residents’ Protected Health Information (PHI) confidentially.
  • Manage communication among households assigned and deliver timely and accurate information to appropriate parties.
  • Perform other duties as assigned by supervisor.
Qualifications
  • Required:
    • Ability to work in a fast‑paced team environment.
    • Excellent written and verbal communication skills.
    • Highly proficient with scheduling and other office technology.
    • Working knowledge of skilled nursing regulations, a plus.
    • Adaptability with last‑minute changes.
    • Ability to utilize scheduling software, Excel, and email communications.
    • Licensed Vocational Nursing License in good standing.
  • Preferred:
    • Proficient in speaking and writing Spanish.
    • Associate’s degree in nursing or health‑related degree.
Equipment & Computer Operations

Computer knowledge and the ability to operate general office equipment such as copier, telephone and fax are essential. Training will be provided to familiarize the employee with work‑related equipment to ensure safety and proper operation.

Work Schedule

Core hours are 8:00 am to 5:00 pm, Monday through Friday; however, hours may change depending on resident, training and operational needs. Special projects or assignments may require additional hours including evenings, weekends and holidays. This position may or may not take call as needed.

Work Location

Primary office located onsite at The Mission.

Attire / Dress Code

Nursing scrubs are appropriate for wear. Slip‑resistant, closed‑toe shoes are required. Employee  or name tag must always be worn while on duty. Personal protective equipment will be issued and worn as needed, with training provided to ensure safety and proper wear during use. See employee handbook for specific guidelines.
