The CYO & AIAL Athletic Assistant is responsible for the leadership, administration, and coordination of youth and middle school athletic programs within the Archdiocese of San Antonio. This role ensures that CYO and AIAL programs operate in alignment with Catholic values, league policies, and high standards of sportsmanship, safety, and professionalism. The position supports the overall mission of forming young athletes in faith, character, teamwork, and integrity while ensuring efficient operations, compliance, and communication across schools and parishes.
Responsibilities- Registration, Compliance & Documentation:
Ensures compliance with parish/school registration requirements; maintains organized registration documents & rosters; manages Sports Pilot on-line registration system - Program Administration & Oversight:
Manage City Commitments, regular season scheduling, Zone playoffs and the City tournament; oversee Zone & City commitments;
Summer Basketball & Jr. Sports League; oversee athlete registration, eligibility verification, rosters, waivers, and medical documentation; supports championships, ceremonies, and special athletic events; maintains inventory and orders equipment/uniforms; updates and manage the CYO website; ensures implementation of CYO Policies & Procedures and Sports Rules; updates athletic handbooks annually; manages NISD gym contracts; secure practice facilities; works with Zones to gather information and distribute contracts;
knowledge of youth, middle school governance (CYO, AIAL, NFHS, TAPPS) - Financial Processing & Budget Oversight: prepares budgets, tracks income and expenses, processes invoicing; monitors expenses, officiating costs, equipment needs, facility rentals, and event revenues; coordinates officials and payments
- Safety, Compliance &
Risk Management:
background checks and child-safety compliance; adherence to Archdiocesan safeguarding policies; implements safety protocols and emergency action plans; oversees incidents and corrective actions - Facility Management: assist with AIAL events, meeting setups, summer camps, facility operations
- Communication &
Collaboration:
implement CYO policies; coordinate with Archdiocese departments and CYO partners; develop sponsor ships and community involvement; coordinate St. Mary’s University camp; serve as City Cheer Coordinator; represent Archdiocese at events; communicate with coaches and staff - Leadership: provide leadership to Zone Presidents, Zone Athletic Directors, Parish/School Presidents, and coaches; organize coach meetings; training and professional development; coordinate Executive Council and Rule Committee Meetings; promote faith-based leadership and athlete-centered coaching
- Conflict Resolution & Problem-Solving: handle concerns professionally; mediate disputes; enforce policy-based decisions; exercise sound judgment
- Bachelor’s degree required
- Minimum 5-10 years in athletics administration, coaching, or youth sports leadership
- Experience in Catholic, private, or educational athletic settings preferred

- Reliable transportation; valid driver’s license and insurance
- Working conditions:
office ard Education & Athletic Center; travel to parishes and schools; regular evenings and weekends for games - Physical requirements:
ability to lift up to 25 lbs; stand, walk, and move around athletic facilities for long periods
