Job DescriptionThe Administrative Assistant will provide high-level support to the executive leadership team. This role is critical for ensuring smooth day-to-day operations, managing complex calendars, and serving as a liaison between executives and internal/external stakeholders. The ideal candidate is highly organized, proactive, and comfortable working in a fast-paced environment with shifting priorities. This position requires discretion, strong communication skills, and the ability to anticipate needs before they arise.
Responsibilities- Manage complex executive calendars, including scheduling meetings, coordinating logistics, and prioritizing competing demands.
- Act as a point of contact for executive scheduling and communications, responding promptly and professionally on behalf of leadership.
- Organize and prepare materials for meetings, including agendas, presentations, and follow-up actions.
- Support administrative processes such as document preparation, performance review coordination, and reporting.
- Maintain confidentiality and handle sensitive information with discretion.
- Coordinate with internal teams and external partners to ensure seamless communication and scheduling.
- Assist with special projects and additional duties as assigned to support organizational objectives.
- Experience in biotechnology, life sciences, or a similar fast-paced industry.
- Proven experience supporting senior executives or C-suite leaders in a dynamic environment.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and calendar management tools.
- Ability to work independently, anticipate needs, and adapt to changing priorities.
- High level of professionalism and discretion when handling confidential information.
- Familiarity with project coordination and process improvement.
- Strong problem-solving and adaptability skills.
