Position OverviewThe Program & Operations Coordinator plays a key role in supporting day-to-day operations, ensuring compliance with documentation and reporting standards, coordinating staff assignments, and maintaining smooth communication between staff, clients, and leadership.
This role combines program coordination, compliance monitoring, and operational support to ensure high-quality service delivery and adherence to Regional Center and organizational requirements.
Key Responsibilities Program Coordination- Coordinate client services and staff assignments across programs
- Support case managers and service providers in scheduling and service delivery
- Assist with onboarding new clients and coordinating initial service plans
- Maintain communication with families, clients, and Regional Center representatives
- Monitor case management deadlines, including quarterly, semi-annual, and annual reports
- Ensure case notes, documentation, and required records are submitted in a timely manner
- Track operational workflows and ensure compliance with agency policies and procedures
- Assist with internal audits and documentation reviews
- Provide operational support to staff in the field
- Assist with troubleshooting scheduling, documentation, or client coordination issues
- Coordinate coverage for client services when staffing adjustments are required
- Maintain organized records and operational systems
- Assist leadership with program reporting and operational data tracking
- Support HR and leadership with scheduling, communication, and operational coordination
- Bachelor’s degree in Social Work, Human Services, Psychology, Public Administration, Business or related field (or equivalent experience)
- 2+ years of experience in program coordination, operations, or social service administration
- Strong organizational and time management skills
- Excellent communication and problem-solving abilities
- Experience working with individuals with developmental disabilities or within social services
- Proficiency with Google Workspace (Docs, Sheets, Calendar)
- Experience working with Regional Center services (ILS, SLS, TDS)
- Knowledge of documentation compliance and case management reporting
- Experience coordinating staff schedules or service delivery
- Bilingual (English/Spanish) a plus
- Highly organized and detail-oriented
- Ability to manage multiple deadlines and priorities
