Job Description:

We are seeking a highly organized and adaptable Administrative Assistant to support a dynamic Franchise Team focused on relocation projects, new business initiatives, and municipal work. This role will work closely with project managers and planners to help coordinate operations, manage administrative processes, and ensure smooth workflow across multiple teams.

Key Responsibilities:
  • Coordinate and manage calendars and meetings for project planners and team members
  • Support distribution of projects and assignments across internal teams including construction and operations
  • Package and process work orders accurately and efficiently
  • Manage customer accounts and maintain records within S4 systems
  • Handle refunds and assist with billing-related processes
  • Provide administrative support to ensure projects move forward on schedule
  • Collaborate cross-functionally with internal teams to maintain clear communication and workflow
Qualifications:
  • Previous experience in an administrative, project coordination, or program analyst role
  • Experience supporting billing, accounting, or financial-related processes is highly preferred
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Experience with SAP and S4 systems is preferred
  • Strong organizational skills with the ability to manage multiple priorities
