What We Need:
The Executive Assistant serves as a trusted strategic partner to the Chief Executive Officer and Executive Leadership Team, including the CEO, CFO, and CTO. This highly visible role is responsible for enabling executive effectiveness through exceptional calendar and travel management, executive communications, meeting support, and cross-functional coordination.
Beyond providing administrative support, this role helps drive operational excellence by anticipating executive needs, managing competing priorities, facilitating critical communications, and ensuring seamless execution of strategic initiatives. The ideal candidate is proactive, highly organized, exercises sound judgment, and thrives in a fast‑paced, mission‑driven environment where discretion and professionalism are paramount.

As a key member of the Executive Office, you'll play an integral role in enabling strategic decision‑making, coordinating high‑impact initiatives, and supporting leaders whose work has meaningful mission impact.
What You’ll Do:- Serve as a trusted partner to the CEO and Executive Leadership Team, ensuring executives are prepared, informed, and positioned for success.
- Manage the CEO's complex calendar and email, prioritizing requests, scheduling meetings, and resolving conflicts with sound judgment and discretion.
- Coordinate domestic and international travel, including detailed itineraries, logistics, expense reporting, and last‑minute changes.
- Plan and execute executive meetings, leadership off‑sites, customer engagements, and industry conferences, including SOF Week and other strategic events.
- Prepare, edit, and refine executive presentations, briefing materials, reports, and correspondence for internal and external audiences.
- Draft executive communications and ensure messaging is accurate, professional, and aligned with company priorities.
- Track executive action items, strategic initiatives, and key deliverables, ensuring timely follow‑up and execution.
- Coordinate meeting logistics, agendas, presentation materials, minutes, and post‑meeting action tracking.
- Facilitate communication and coordination across departments to advance executive priorities and business objectives.
- Maintain confidential records, files, and sensitive business information while exercising the highest level of integrity and discretion.
- Serve as a professional point of contact for executives, customers, government stakeholders, investors, and external partners.
- Anticipate executive needs, identify potential challenges, and proactively implement solutions before issues arise.
- Support special projects, business initiatives, and executive office operations as assigned.
- Manage office supply inventory and workplace provisions to maintain a professional and efficient office environment.
- Perform other duties and special assignments as needed.
Qualifications:
- 5+ years of experience supporting senior executives, with direct experience supporting a CEO or C‑suite executive strongly preferred.
- Demonstrated ability to manage complex executive calendars, shifting priorities, and confidential matters in a fast‑paced environment.
- Exceptional organizational, project management, and time management skills with outstanding attention to detail.
- Advanced proficiency in Microsoft Office, including Outlook, PowerPoint, Word, and Excel.
- Strong executive presentation development and document preparation skills.
- Outstanding written and verbal communication skills with the ability to interact confidently with senior executives and external stakeholders.
- Proven ability to anticipate needs, think strategically, and execute with minimal supervision.
- High degree of professionalism, integrity, discretion, and sound judgment.
- Experience supporting executive leadership teams or governance activities preferred.
- Experience with in the defense, aerospace, government contracting, or public company environment is preferred.
- Familiarity with corporate governance practices and executive operations is a plus.
