Legal Office Services Specialist

The Legal Office Services Specialist is responsible for providing comprehensive onsite operational support for a legal office, ensuring the efficient delivery of mail, print, scanning, shipping, reception, and hospitality services. This role serves as the primary onsite resource, delivering exceptional customer service, managing multiple operational functions independently, and maintaining a professional, client-focused environment.
Responsibilities- Manage the day-to-day operations of a legal office services center as the primary onsite representative.
- Coordinate incoming and outgoing mail, shipping, receiving, and package distribution.
- Operate and maintain office equipment, including printers, copiers, scanners, mail processing equipment, and audio-visual equipment.
- Perform print, copy, scanning, and document production services while ensuring quality and accuracy.
- Provide reception coverage by greeting visitors, answering inquiries, and directing clients appropriately.
- Support meeting room setup and hospitality services for client meetings and events.
- Respond to multiple customer requests while maintaining a high level of professionalism and service.
- Troubleshoot basic office equipment issues and coordinate service requests as needed.
- Deliver training and guidance on office equipment and operational processes when required.
- Maintain organized work areas and ensure operational readiness throughout the office.
- Work independently with minimal supervision while prioritizing multiple tasks and meeting service expectations.
- Perform additional office services and administrative duties as assigned.
- High school diploma or GED.
- 2+ years of experience in office services, document services, mail services, or a related field.
- Minimum of 2 years of experience in a legal office or legal services environment is strongly preferred.
- Experience operating advanced office equipment, including printers, copiers, scanners, mail processing, and related technology.
- Experience delivering formal or informal training to end users or team members.
- Strong organizational, time management, and multitasking skills.
- Excellent customer service, interpersonal, and communication skills.
- Ability to work independently and manage competing priorities in a fast-paced environment.
- Strong technical aptitude with the ability to learn and operate complex office equipment.
- Ability to stay current with evolving office technologies and industry best practices.
