Administrative Assistant II / Project Coordinator

Duration: 2-year Contract Opportunity with potential to convert

Schedule: Monday - Friday | 6:30 AM - 3:00 PM PST

Position Overview

We are is seeking an Administrative Assistant II / Project Coordinator to provide administrative and operational support to supervisors and specialists in a fast-paced utilities operations environment. This individual will play a key role in coordinating daily activities, supporting field operations, and ensuring work is scheduled, documented, and completed efficiently. The ideal candidate is highly organized, detail-oriented, able to manage multiple priorities, and learns new processes quickly.

Key Responsibilities
  • Provide administrative support to supervisors and department staff.
  • Contact municipalities to obtain permits and coordinate project requirements.
  • Schedule work activities, crews, and equipment.
  • Gather, prepare, and assemble job packets and supporting documentation.
  • Create and maintain work orders.
  • Monitor condition codes and ensure jobs are properly tracked and closed.
  • Track assigned training and maintain completion records.
  • Assist supervisors and support staff with daily administrative tasks.
  • Support additional departmental responsibilities as assigned (not to exceed 5% of duties).
Qualifications
  • High school diploma or equivalent required.
  • Previous administrative, project coordination, or operations support experience preferred.
  • Proficiency with Microsoft Outlook, Word, Excel, MS Teams, and other Microsoft Office applications.
  • Excellent verbal and written communication skills with the ability to communicate effectively with a variety of audiences.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities, meet deadlines, and adapt in a fast-paced environment.
  • Self-motivated with the ability to work independently and collaboratively within a team.
