Department Description

USD School of Law is one of the 84 law schools elected to the Order of the Coif, a national honor society for law school graduates. The law school's faculty is a strong group of outstanding scholars and teachers with national and international reputations and currently ranks in the top 20% (36th out of 204) among U.S. law schools in scholarly impact according to a 2018 study.

The school is accredited by the American Bar Association and is a member of the Association of American Law Schools. Founded in 1954, the law school is part of the University of San Diego, a private, independent, Roman Catholic university chartered in 1949.

Responsibilities

Provide general and academic administrative support to the Law School faculty through a variety of tasks:

  • Perform research using legal databases such as Westlaw and Lexis‑Nexis, as well as internet searches for addresses, phone numbers, articles, and government websites.
  • Tabulate scores and grades for midterm and final examinations using the LG 2.5 program; submit final grade sheets to Records.
  • Post course documents and assignments to TWEN and/or Canvas; assist in maintaining these sites.
  • Coordinate the submission and return of student assignments both in person and electronically.
  • Type quizzes, midterms, final exams, and sample answers; proctor exams; review syllabi; prepare attendance lists and seating charts; ensure course materials are ordered.
  • Assist faculty with training and troubleshooting classroom technology in collaboration with media services.
  • Manage and schedule Zoom meetings; process expense reports, petty cash, and check requests; handle non‑USD reimbursements and honorariums.
  • Perform word processing of manuscripts, articles and books; file management and maintenance.
  • Help faculty make travel arrangements; support classroom and event support (e.g., catering, room reservations, parking validation). Monitor individual faculty budget accounts.
  • Order textbooks and books for research from the bookstore and publishers.
  • Coordinate print‑shop requisitions for copies of class materials and other documents, including conference reading materials and exam answers.
  • Produce documents in Google Suite, Microsoft Word, and Adobe Acrobat Pro; scan and photocopy documents as needed.
  • Order supplies through online vendors; screen and answer phone calls; schedule meetings and appointments.
  • Perform library and mail runs; shred outdated examinations and confidential information.
  • Support the hiring process for student assistants, collecting resumes, transcripts, letters of recommendation and serving as point of contact for job postings.
  • Provide administrative support for faculty committee meetings; assist with managing faculty calendars, including non‑USD events.
Annual Oral Arguments
  • Maintain accurate data and manage a database of over 300 judges for first‑year oral arguments.
  • Obtain participation of over 130 local judges via Zoom.
  • Distribute case material to participants.
  • Create and manage distribution of invitation emails using G‑Suite.
First‑Year Practicum Course (EAP Program)
  • Help coordinate logistics for break‑out or smaller class sessions.
  • Assist with grade tracking, recording and score translation.
  • Assist with communications to adjuncts and students.
  • Plan and coordinate the end‑of‑year event for students and faculty.
Trial Advocacy Program
  • Reserve locations for mock trials; secure invoices, certificates of insurance.
  • Outreach to local schools for student volunteers to serve as jurors.
  • Communicate via email to confirm details and logistics; order food and supplies.
  • Create and send certificates of participation to record volunteer hours.
  • Mail copies of books, journals, articles to professors, reviewers, news sources.
  • Send flyers and invitations to promote speaking events.
  • Design and purchase promotional postcards and mailing cards from USD Copy Center.
  • Assist with coordinating book sale events and communication with VIP guests.
