Job Summary
A growing construction-based company in San Diego is seeking two Administrative/Operations Assistants to join its team on a temp-to-hire basis. This role is ideal for detail-oriented administrative professionals who enjoy supporting operations, accounting, production, purchasing, and customer-facing workflows in a fast-paced construction environment. The Administrative/Operations Assistant will play an important role in keeping daily business processes moving, including converting quotes to work orders, reviewing purchase orders, supporting invoicing, reconciling payments, assisting with inventory activity, and maintaining accurate records.

- Manage daily conversion of quotes to work orders, review purchase orders, compare work tickets, and book work orders accurately.
- Support accounting and billing functions, including payment reconciliations, invoice preparation, accounts receivable review, and unapplied payment research.
- Run, review, and update Excel-based backlog reports, unbilled work-in-progress reports, and open accounts receivable worksheets.
- Assist with inventory transfers, receiving, product procurement, vendor ordering, material order requests, and vendor invoice approvals.
- Review installer work tickets, time clock entries, payroll calculations, and related operational documentation.
- Provide general administrative support, including records management, phone coverage, HR administrative assistance, office supply replenishment, mail distribution, and cross-department communication.
- Pay range: $49,900 to $52,000 per year.

- Support accounting, payment reconciliation, accounts receivable, payroll calculation, and financial backup tasks.
- Maintain Excel-based reports, production schedule priorities, backlog tracking, and unbilled work-in-progress reporting.
- Coordinate inventory transactions, vendor ordering, installer documentation, and administrative support across departments.
- 3 to 5 years of administrative, operations support, or related office experience.
- Strong Microsoft Excel skills with the ability to review, update, and manage spreadsheet-based reports.
- Experience using Outlook, database systems, web-based platforms, and business software;
Oracle experience is helpful. - Strong attention to detail with the ability to prioritize multiple tasks and meet deadlines.
- Comfortable reviewing purchase orders, invoices, work tickets, payment details, and operational documents for accuracy.
- Strong communication skills with the ability to work effectively with sales, production, accounting, HR, vendors, installers, and management.
- Organized, dependable, and proactive, with strong follow-through and sound judgment.
- Ability to answer phones, manage general office tasks, and support a variety of administrative needs.
- Strong leadership qualities and a team-oriented approach to improving internal communication.
- Previous experience working in the construction industry, especially residential, commercial, office, or contractor support environments.
- Experience with purchase orders, takeoffs, work orders, progress billing, phase pay forms, or construction-related invoicing.
- Familiarity with builder websites, downloading purchase orders, and supporting production or field operations teams.
- Experience with inventory receiving, procurement, vendor coordination, or installer documentation.
