Field Office Coordinator

The Field Office Coordinator is responsible for providing professional, general administrative office and project support, office coordination, and reception services to project sites.

Salary Range: $90,000 - $100,000 annually

Job Responsibilities:

  • Lead the setup, maintenance, and accuracy of project commitment data in Sage 300.
  • Prepare, coordinate, and track project contract documents, such as Project Agreements, Service Agreements, Subcontract Change Orders, etc. in Sage and issue via Docu Sign. Follow up to ensure timely completion and resolve documentation issues as needed.
  • Assist in compiling and reviewing customer billings, lien releases, certified payrolls, and other project compliance documentation, ensuring accuracy and timely submission.
  • Coordinate the distribution and collection of documents to/from subcontractors and maintain accurate document logs. Follow up on outstanding documentation and ensure project requirements are met.
  • Compile, review, and reconcile client-required cost substantiation documentation, identifying discrepancies and coordinating resolution with the project team.
  • Enter weekly field timecards, verify correct coding, and assist field personnel with resolving timekeeping discrepancies.
  • Maintain accurate, standardized filing systems, including week-ending and month-ending job files, insurance and bonding logs, commitment logs, safety records, and project files.
  • Take a lead role in project set-up, ongoing administration, and closeout activities, ensuring required documentation and processes are completed throughout the duration of the project.
  • Provide guidance and support to Field Office Coordinators and other administrative personnel, sharing knowledge and helping maintain consistent project administration practices.
  • Serve as a resource to project leadership and field staff regarding project documentation, administrative procedures, and company processes.
  • Assist with general office support, including supporting leadership and administrative teams and coordinating the day-to-day needs of the jobsite office.
  • The functionality of this job is performed onsite at a jobsite; it is required that you are comfortable with all facility setups and administrative requirements for a jobsite.
  • Other duties as assigned.

Qualifications:

  • High school graduate or equivalent, with at least 2 years of college education preferred.
  • Requires five years of experience in construction administration, with demonstrated experience directly supporting field construction operations. Senior-level or lead experience preferred.
  • Proficient working knowledge of construction project procedures, concepts, practices, and documentation requirements.
  • Proficient verbal and written communication skills, including professional telephone manner and the ability to communicate effectively with project teams, clients, and subcontractors.
  • Strong multitasking, problem-solving, time management, organizational, and follow-through skills are required.
  • Advanced knowledge of MS Office applications, including Word, Excel, and Outlook.
  • Knowledge of Docu Sign and Bluebeam/Adobe Acrobat is preferred.
  • Working knowledge of accounting principles, with preference given to those with experience in Sage 300 and construction-related financial processes.
  • Demonstrated ability to independently prioritize responsibilities, manage multiple deadlines, and exercise sound judgment with minimal supervision.
  • Self-motivated, reliable, and accountable, with a demonstrated sense of urgency and ownership of tasks.
  • Ability to provide guidance and support to less-experienced team members and promote consistent administrative practices.
